About the role
DroneShield is looking for a detail-oriented Payroll Coordinator to join the Finance team. Reporting to the Head of Payroll, you will play a key role in supporting the end-to-end payroll function across our Australian and US operations. This is a hands-on role suited to someone who thrives on accuracy, enjoys improving processes, and is comfortable working across multiple payroll platforms.
Responsibilities, Duties and Expectations
- Support the Head of Payroll with processing monthly payroll cycles, including commissions and bonuses
- Collaborate with outsourced payroll vendors to process payroll for employees across Australia and the US
- Administer and maintain payroll systems, including Rippling, ADP, and Deel
- Manage Employer of Record (EOR) arrangements through Deel, ensuring accurate and timely payments
- Support the processing of terminations in accordance with statutory requirements
- Ensure compliance with superannuation obligations
- Support the reconciliation of annual PAYG reports to ATO Single Touch Payroll (STP)
- Support payroll end-of-month reconciliations and reporting
- Maintain and update employee personal and payroll records
- Generate monthly reports on outstanding annual leave balances
- Manage compliance filings with government agencies, ensuring accurate reporting of taxes, contributions, and benefits
- Review and approve independent contractor invoices
- Serve as the first point of contact for ad-hoc payroll queries from employees and managers
- Provide basic administrative support within Rippling for the broader team
- Support workers’ compensation payment processes
- Identify opportunities to streamline and automate payroll processes to improve efficiency and accuracy
- Collaborate with People Operations, Legal, and Finance to implement payroll-related changes, policies, and procedures.
- Document and improve payroll processes and standard operating procedures
- Support cross-functional projects and team initiatives as required
Qualifications, Experience and Skills
Required
- Tertiary qualification in Payroll, Human Resources, Finance, or a related field
- 2–3 years of payroll processing experience, ideally across Australian payroll
- Familiarity with interpreting Modern Awards and payroll-related legislation
- Experience with payroll systems such as Rippling, ADP, or Deel (or similar platforms)
- Strong attention to detail and commitment to accuracy
- Excellent written and verbal communication skills
- Ability to work autonomously and as part of a geographically distributed team
- Willingness to work outside core hours on occasion to support global payroll cycles
Desirable:
- Exposure to multi-country payroll
- Experience with Employer of Record (EOR) platforms
- Understanding of workers’ compensation processes
- Process improvement mindset with a desire to enhance workflows and reduce manual effort
