Job Overview

Branch Operations Admin Associate at Bobobox, with supervision from the Secretary of Branch Operations, you will manage the inventory of branch operations amenities and supplies as well as be responsible for the process of order, requesting, and receiving the goods. You’ll arrive at a career experience of building teams from scratch, and branch operations systems that tie directly to the core business of the organization.

What you will do:

  • Summarize and coordinate the purchase requisition of all branches and track it up for a good delivery timeline

  • Manage and monitor the Purchase Request proposal of all branches to ensure efficiency based on a set budget.

  • Coordinate the administrative process of the monthly recapitulation of branch attendance reports to generate payroll reports.

  • Coordinate the finalization of the monthly inventory report to meet the timeline schedule with the correct COA to the Accounting team

  • Submit the purchase requisition for ancillary goods in a timely manner.

  • Manage & monitor monthly branches inventory stock opname to generate inventory reports and accuracy target OKR.

  • Conduct Regular asset audits of all branches

  • Manage and monitor the Purchase Request proposal of all branches to ensure efficiency based on a set budget.

  • Manage the provision of starter kits for new join employees of the branch and coordinate the necessity to related departments (uniform, slack account, PMS account, cleaner apps account, name tag, etc.).

  • Monitor the record of Branch the inventory consumption ensuring the right CoA and formula

  • Monitor and help to manage the receiving process at Branch Warehouse

  • Daily monitoring of calculating the physical amount stock of inventory adjusting to the system record

  • Monitor how to order goods to fulfill Branch stock

  • Manage & compile Branch attendance recapitulation report, ensure with the complete supporting documents, standardized template, and validated data

  • Manage the process of submitting requests for daily labor wages payment

  • Manage the process and submit the adjustment for loss on inventory obsolescence request

  • Manage the process of submitting a vendor payment request

  • Manage and monitor the request for a refund for transactions made at the POS

  • Conduct regular offline administration training (for a new site) or requested online training

  • Compile the report of regular administration training (for a new site) or requested online training

  • Daily monitoring of ancillary items sales

  • Manage the request of new items (for ancillary & inventory) on Netsuite, coordinate with related stakeholders

  • Visit Branch and assist Stock Opname process on certain scheduled

  • Provide administrative support among the roles in the Branch Operations Department

You will fit in this job if you:

  • Bachelor’s degree in administration, management, finance, or a related field.

  • Willing to work based in a selected area with frequent travel.

  • Experience in the same role minimum for 1 (one) year.

  • Good communication and analytical skills.

  • Understanding the hotel business process.

  • Attention to detail and curiosity obsessed.

  • Proficiency in using email, Microsoft offices and google suite.

  • Excellent learning skills, attention to detail, and proactively resolving issues and results-driven.
