We’re looking for a detail-oriented and proactive Commercial Operations Specialist to own and optimize our order-to-cash processes. You’ll ensure accurate billing, maintain clean and reliable data across systems, and act as the operational bridge between Finance, Customer Success, and Legal. Your work will be key to keeping commercial workflows efficient, compliant, and insight-driven.
RESPONSIBILITIES
As a Commercial Operations Specialist, you will:
- Invoice & Records Management: Prepare and issue customer invoices, and ensure our systems are accurate and up to date.
- Customer Communication: Manage customer correspondence during renewals/invoicing process - including POs, billing details, and contract documentation.
- Systems Accuracy & Data Hygiene: Maintain accurate records across tools.
- Billing & Accounting Support: Handle customer billing inquiries and requests, update payment details, and collaborate with Accounting on reconciliations and payment verification.
- Vendor Onboarding: Complete finance-related supplier setup and documentation and coordinate approvals internally when needed.
- Procurement Portal Management: Register company details in procurement systems and ensure smooth invoice submission workflows.
- Contract Administration: Use existing SaaS templates to add customer details, send for signature, and coordinate any redlines or changes with Legal.
- Documentation & Process Optimization: Maintain up-to-date internal documentation and SOPs, track SLAs, and continuously improve commercial workflows for scalability and efficiency.
- Reporting & Insights: Build and maintain dashboards and reports that provide visibility into billing, renewals, and commercial performance.
- Cross-functional Collaboration: Support Commercial teams with day-to-day billing/invoicing queries and basic contract/admin needs, coordinating with Finance and Legal as required.
- Additional Operational Support: Manage shared inbox triage, assist with department reporting decks, maintain the opted-in customer reference list, fulfill sales requests, and coordinate new opt-ins with CS, and contribute to ongoing process and tool improvements.
Requirements
To be successful in this role as a Commercial Operations Specialist, you should have:
- Bachelor’s degree in Business Administration, Finance, or related field.
- Experience in Billing/Order-to-Cash/RevOps/CS Ops (SaaS preferred).
- Proficiency in CRM systems, primarily Salesforce.
- Basic Excel/Sheets skills.
- Proficiency in English.
- Strong written communication skills.
- Strong problem-solving skills and strategic thinking abilities.
- High level of attention to detail, analytical, and organizational skills.
- Self-motivated and able to work independently.
- Ability to multitask effectively.
- Ability to work in a fast-paced, dynamic environment.
- Experience in tax/VAT basics, price book familiarity, procurement portals are a plus
