Virtual Receptionist
Job Overview
Description:
We are seeking a highly organized and detail-oriented Virtual Receptionist to provide remote administrative support. The successful candidate will serve as the first point of contact for patients and will be responsible for managing communications, scheduling, and ensuring a smooth flow of information between the office and its clientele. This position requires excellent communication skills and the ability to manage multiple tasks efficiently in a fast-paced dental environment.
Skills Required:
- Professional verbal and written communication skills for responding to emails and phone calls
- Proficiency in scheduling meetings and managing calendars
- Experience maintaining and updating contact lists
- Ability to prepare spreadsheets and maintain accurate online records
- Strong attention to detail and organizational skills
Duties/Tasks to Perform:
- Monitor and check voicemail and electronic messages regularly
- Answer incoming calls and direct them appropriately
- Schedule and confirm patient appointments
- Make outgoing calls to patients regarding upcoming visits and pending treatments
- Contact insurance providers to verify patient benefits
- Maintain accurate patient and contact records
Requirements
- Minimum of 1 year of experience in a receptionist, administrative, or customer service role (preferably in the healthcare or dental sector)
- Proficiency with virtual communication tools (e.g., VoIP systems, email platforms, scheduling software)
- Familiarity with electronic health records (EHR) systems is preferred
- Reliable high-speed internet connection and a quiet, professional remote work environment
- Ability to work independently, manage time effectively, and handle multiple priorities
- Excellent interpersonal skills, with a patient and empathetic phone manner
- Availability to work on-site at our offices is required
Schedule: Monday, Thursday and Friday from 9:00am to 1:00pm (CST). Tuesday and Wednesday from 2:00pm to 6:00 (CST)
