About the role
- We are seeking a smart, steady, and highly organized part-time Contracts & Operations Coordinator to support the day-to-day and week-to-week management of customer contracts and related operational tasks. This role will serve as a central point of coordination for contract review, documentation, registrations, and process improvement. This position is a remote role and will require 15-20 hours per week of support.
- The ideal candidate is detail-oriented, comfortable recognizing patterns in contracts, and interested in helping standardize and improve workflows — especially in environments where information currently comes in through multiple channels.
- This role may expand over time to include RFP support and other compliance-related filings.
What you'll do
Contracts & Compliance
- Review incoming customer contracts for completeness and consistency
- Fill out required organizational information in contracts, as required
- Identify terms that may require escalation to the CFO or legal review
- Coordinate contract requirements with internal stakeholders, including data requirements, with the CTO or members of his team
- Track and manage Certificates of Insurance (COIs) by liaising with insurance representatives
- Maintain organized contract records and ensure accessibility over time
Operational & Administrative Support
- Work with our existing Policy and Procurement Manager to complete vendor forms, support RFP-related documentation, and other required filings
- Support business registrations in various states (e.g., providing tax information, W-9s, compliance forms)
- Manage portal registrations and updates as needed (e.g., BidSync, district purchasing portals)
- Work closely with internal team members on RFPs and related administrative needs
Process Improvement & Systems
- Help standardize and document contract-related processes
- Support efforts to centralize contracts and related data in Salesforce
- Improve intake and tracking workflows so contracts are easy to locate and manage long-term
- Bring an automation-minded perspective to streamline how information is collected and stored
Qualifications
- Curiosity, empathy, and a passion for our mission and values
- Experience reviewing or administering contracts, vendor agreements, or compliance documentation
- Strong attention to detail and ability to recognize patterns or inconsistencies
- Comfortable coordinating across teams and external partners
- Organized, reliable, and able to manage multiple workstreams independently
- Experience with Salesforce or similar CRM systems is a plus
- Familiarity with RFPs, purchasing portals, or the education sector contracting is a plus
