What You’ll Work On

Executive Support and Daily Operations

  • Manage inboxes with speed and judgment, filtering important messages and clearing out noise
  • Maintain and manage calendars, appointments, showings, and personal commitments
  • Draft and send client emails, confirmations, follow-ups, and reminders
  • Keep priorities aligned and ensure nothing slips through the cracks
  • Prepare notes, recaps, and action items from meetings and masterminds

Real Estate Administrative Support

  • Organize property files, documents, marketing assets, and listing-related materials
  • Track active listings, upcoming listings, and buyer-side tasks
  • Coordinate with vendors, stagers, photographers, and service providers
  • Assist with scheduling open houses, walkthroughs, and property-related logistics
  • Maintain high accuracy in all documents and communications

Social Media and Content Coordination

  • Maintain a consistent content calendar for Instagram and related platforms
  • Track upcoming shoots, market updates, property spotlights, and lifestyle content
  • Remind and prompt the executive on recording deadlines and content opportunities
  • Assist with light editing, formatting, captions, or uploads when needed
  • Monitor engagement, organize assets, and keep content folders clean and up to date

Accountability and Workflow Management

  • Serve as the operational anchor for a fast-paced workload
  • Flag issues early and offer solutions instead of waiting for direction
  • Build simple workflows, checklists, and systems that make the day run smoother
  • Stay one step ahead and anticipate needs without constant oversight

What You Bring

  • 3 to 5 years of experience as an Executive Assistant or Office Manager supporting senior or high-performing executives
  • Experience in real estate operations or a real estate-adjacent role
  • Deep understanding of Instagram content workflows, trends, and posting strategies
  • Strong written communication and professional email management skills
  • Highly organized and detail oriented with the ability to manage many moving pieces
  • Comfortable working independently and making judgment calls
  • Ability to multitask, prioritize, and maintain composure in a fast-changing environment

Nice to Have

  • Experience supporting a luxury brand or personal brand
  • Familiarity with real estate terminology, scheduling, and property workflows
  • Light content editing or social media management experience
