Job Role: Billing Accounts and Bookkeeping Assistant
Compensation range: $2000 AUD / Monthly
Engagement type: Independent Contractor Agreement
Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

The client is a modern, boutique law firm based in Melbourne dedicated to making legal services simple, transparent, and cost-effective.
Role Overview:
We are seeking a detail-oriented Billing, Accounts & Bookkeeping Assistant - ideally with experience in Australian legal billing - to manage accounts receivable, monthly billing cycles, and essential bookkeeping tasks for a Victorian law practice. This is a virtual role, suitable for someone who is proactive, organised, and comfortable liaising with legal team members to ensure accuracy in all billing activities.
Key Responsibilities:
- Maintain billing across all active legal matters and ensure all entries are up-to-date.
- Issue invoices through Smokeball or prepare draft invoices for solicitor review.
- Apply the appropriate Victorian, Federal, and Family Law Court scales when needed (nice to have, but not essential).
- Manage cost disclosure requirements, both at the commencement of new matters and when thresholds are reached.
- Assist with trust account transaction entries under supervision.
- Review, assign, and reconcile emails to the correct matters
- Cross-check billing with the legal team to verify accuracy and confirm matter completion.
- Support the goal of maintaining a consistent monthly billing cycle for all clients.
- Provide general administrative assistance as required
- Potentially handle additional bookkeeping responsibilities
Requirements
Required Skills and Qualifications:
- Experience in Billing Accounts and Bookkeeping Assistant (at least 2 years)
- Strong attention to detail and accuracy.
- Excellent proficiency in Microsoft Outlook (critical for managing and assigning emails).
- Ability to work independently, meet deadlines, and coordinate with a remote team.
Preferred (but not mandatory):
- Experience with Australian legal billing processes.
- Familiarity with Smokeball or similar legal practice management systems.
- Understanding of legal cost scales in Victoria and Federal jurisdictions.
- Basic bookkeeping knowledge or experience.
Training will be provided for candidates who possess strong organisational skills and a willingness to learn. This is not overly complex work for the right person with the right mindset.
