The Store Keeper in an event industry workshop is responsible for managing the receipt, storage, maintenance, and issuance of materials, tools, and equipment used for events, exhibitions, and fit-out projects. This role ensures that all necessary items are available on time, properly organized, and well- maintained to ensure smooth event production.
Key Responsibilities
1. Receiving, Issuing & Dispatch
• Receive Goods: Verify incoming materials against purchase orders and delivery notes, inspecting for damage or discrepancies.
• Issue Materials: Release materials and tools to production, installation, and site teams based on approved requests.
• Logistics Support: Coordinate the packing and loading of equipment for transport to event venues.
• Returns Management: Process returned items from event sites, inspecting them and returning them to proper storage.
2. Inventory Control & Management
• Track Stock Levels: Maintain accurate, up-to-date records of all materials, tools, equipment, and consumables.
• Inventory Audits: Conduct regular, daily, and monthly physical stock counts and reconcile them with system records.
• Stock Organization: Arrange, label, and identify stock items for quick retrieval.
• Monitor Stock Levels: Prevent shortages or overstocking of critical materials and manage stock aging to avoid waste.
3. Workshop & Safety Maintenance
• Housekeeping: Maintain a clean, organized, and safe warehouse/workshop area.
• Asset Care: Inspect equipment for damage, ensuring tools are safe for use.
• Safety Compliance: Adhere to fire safety regulations and handle hazardous or heavy materials properly.
4. Documentation & Reporting
• Record Keeping: Maintain stock registers, bin cards, and computerized records of all transactions.
• Reporting: Prepare daily, weekly, and monthly stock reports for management.
• Documentation: Process Material Received Reports (MRR) and Stock Issue Vouchers (SIV).
