Position Summary
The Asset and IT Manager will oversee all aspects of equipment and inventory management for a fully remote telehealth organization. This role ensures that clinicians and staff have the technology and devices needed by managing inventory systems, device deployment, and vendor logistics.
Essential Duties:
1. Inventory and Asset Management
- Design, implement, and maintain a centralized inventory management system to track all company-owned assets—medical equipment, laptops, and phones.
- Create clear processes for ordering, fulfillment, and returns to support a remote and distributed workforce.
- Manage shipping and receiving logistics across multiple states, ensuring timely delivery and tracking of assets.
- Oversee vendor relationships for procurement and warranty service, ensuring cost-effective purchasing and consistent supply.
- Maintain accurate records of all inventory transactions and reconcile periodically to ensure high accuracy.
2. IT Asset Management and Deployment
- Manage the full lifecycle of laptops, tablets, and mobile devices—from purchase and setup through recovery and redeployment.
- Configure and secure all devices using an MDM platform (e.g., Kandji, Jamf, or Intune).
- Partner with HR and IT Support to streamline technology setup for onboarding and offboarding processes.
- Maintain detailed asset assignments and ensure compliance with company security and privacy policies.
- Monitor device performance and proactively plan for replacements and upgrades.
3. System Implementation and Process Improvement
- Lead the selection and rollout of an inventory and asset management system suitable for a scaling telehealth organization.
- Develop SOPs and documentation to ensure consistency, transparency, and accountability in inventory practices.
- Integrate asset tracking with key operational systems (HR, IT, and finance) for reporting and automation.
- Build dashboards and reports that provide visibility into inventory status, costs, and utilization.
- Continuously identify opportunities to streamline logistics and IT processes as the company grows.
4. Cross-Functional Collaboration and Support
- Work closely with Operations, IT, and Clinical teams to ensure logistical needs align with service delivery priorities.
- Serve as a bridge between technical and operational teams—translating business needs into efficient logistical and IT solutions.
- Provide training and guidance to team members on inventory handling, technology policies, and procedures.
Qualifications:
- Bachelor’s degree in Supply Chain Management, Business Administration, Information Technology, or related field (or equivalent experience).
- 5+ years of experience managing logistics, inventory, or IT assets—ideally in a healthcare, tech, or remote-first environment.
- Demonstrated success implementing an inventory management or asset tracking system from the ground up.
- Strong working knowledge of inventory management tools (e.g., Asset Panda, Snipe-IT) and MDM platforms (e.g., Kandji, Jamf, Intune).
- Excellent organization and time management skills, with the ability to balance strategic projects and hands-on execution.
- Familiarity with SOC 2 Type II, HIPAA and healthcare compliance standards preferred.
- Comfortable operating in a lean, fast-paced environment where systems and processes are evolving.
Physical Requirements and Work Environment:
- Work is performed in an indoor office setting
- Able to sit for several hours at a time with periodic breaks
- Ability to use fine motor skills to operate computers, office equipment and/or machinery.
- Visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer monitor; extensive reading.
