Essential Duties/Responsibilities:
Membership Experience & Support
- Serve as a primary point of contact during member onboarding, coordinating across internal teams (clinical operations, medical coordination, logistics, and client relations) to ensure a seamless and welcoming experience.
- Support the offboarding process with professionalism and tact, ensuring continuity of care and clear communication.
- Conduct proactive outreach prior to membership renewals, discussing benefits, addressing concerns, and reinforcing the value of continued partnership.
- Monitor and manage fulfillment of all membership benefits, including comprehensive health assessments, medical kits, global medical evacuation coverage, and other concierge health services.
- Ensure timely and accurate enrollment in proprietary apps and platforms, assisting members with navigation and troubleshooting as needed.
- Collaborate with clinical and operational staff to ensure that member preferences and needs are clearly communicated and documented.
- Assist in drafting and distributing member communications such as welcome materials, renewal notifications, benefit updates, and engagement initiatives.
- Uphold the highest standards of confidentiality and professionalism in all member interactions.
Data Management & Reporting
- Maintain precise and confidential member data across CRM and internal systems, ensuring accuracy and compliance with privacy standards (HIPAA and organizational policies).
- Generate reports on membership trends, renewals, engagement metrics, and service utilization to support leadership decision-making.
- Track and analyze KPIs such as retention, satisfaction, referral activity, and business development pipeline health.
- Collaborate with the finance team to ensure data consistency across platforms, including membership records and billing systems.
- Provide ad hoc analytical and reporting support to leadership and business development teams.
Business Development & Growth Support
- Support membership growth initiatives by assisting in outreach and follow-up with prospective members, corporate partners, and referral sources.
- Assist with preparation of proposals, presentations, and customized membership materials for executives and corporate partners.
- Conduct research on potential markets, member segments, and partnership opportunities to inform business development strategy.
- Help coordinate logistics for meetings, webinars, and corporate presentations related to executive health programs.
- Collaborate with marketing and client relations teams to refine messaging and materials that communicate the organization’s concierge value proposition.
- Contribute insights from member interactions and data analysis to support continuous improvement in acquisition and retention strategies.
Qualifications
- Associates degree required.
- Bachelor’s degree or equivalent combination of education and relevant professional experience preferred.
- Experience in membership management, client services, or healthcare administration is a plus especially within a concierge, executive health, or high-net-worth client environment.
- Exceptional organizational and multitasking skills with keen attention to detail and accuracy.
- Outstanding communication and interpersonal abilities, demonstrating empathy, professionalism, and discretion.
- Comfortable working in a fast-paced, high-expectation environment with executives, medical professionals, and internal stakeholders.
- Proficiency in Microsoft Office Suite (particularly Excel and PowerPoint).
- Experience with CRM systems (HubSpot preferred) for data tracking, reporting, and pipeline management.
- Analytical mindset with the ability to translate data into actionable insights.
- A proactive, service-oriented attitude with a genuine interest in health, wellness, and client experience.

- Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards
