Maine Mathematics and Science Alliance is seeking a Finance Assistant to support the financial operations of the organization by performing routine accounting tasks, maintaining accurate records, assisting with grants tracking, and ensuring timely processing of expenses. This role is essential for maintaining strong internal controls and supporting compliance with grant and audit requirements.
Requirements of the Finance Assistant:
- Associate’s degree in accounting, business, or related field (or equivalent experience).
- 1–3 years of experience in bookkeeping, accounts payable/receivable, or nonprofit financial systems support.
- Demonstrated proficiency in QuickBooks and other spreadsheet programs.
- Attention to detail, confidentiality, and organizational skills.
- Willingness to learn and support a mission-driven, collaborative team.
- Ability to work onsite in Augusta, Maine one day per week.

- Hourly pay in the range of $21-$26/ hour, depending on experience.

Responsibilities of the Finance Assistant:
- Process invoices and expense reimbursements in a timely and accurate manner.
- Track and follow up on outstanding payments or receivables.
- Maintain documentation for all financial transactions in accordance with policy and auditing requirements.
- Enter and categorize expenses into the accounting system (e.g., QuickBooks or similar).
- Maintain organized digital and physical files for financial documents.
- Assist with coding expenses to the correct grant, project, or department.
- Assisting with ordering of materials and reconciling receipts.
- Supporting project-related stipends, W-9 collection, and reimbursement processing.
- Schedule finance-related meetings, assist with budget templates or reports.
- Help prepare and distribute monthly financial updates to teams.
- Respond to internal requests for documentation or support.
