About the Role
We are currently seeking a Sample Coordinator to join our team! This role is responsible for managing and organizing the sample room, including inventory, tracking, logistics, and coordinating sample and prototype requests. The position works cross-functionally with sales, ecommerce, marketing, warehouse, and global teams to manage sample quantities, timelines, and retailer milestones. It involves maintaining accurate documentation, ensuring clear communication with suppliers and internal teams, identifying workflow improvements, and handling light physical tasks.
What You’ll Do
- Manage the organization and efficiency of the sample room, including the intake and inventory of new and existing products and coordinate logistics for sample tracking and delivery.
- Own sample request forms, prototype request forms, and weekly project trackers.
- Collaborate with cross-functional teams including sales, ecommerce, marketing, warehouse, and global teams to manage sample quantities effectively.
- Ensure all internal and external communication is shared quickly and effectively with our suppliers and affected cross functional teams.
- Participate in retailer milestone meetings to help capture and track details both cross functionally and in internal documentation.
- Communicate and track customer and internal timelines across multiple departments.
- Identify potential issues and implement solutions to maintain workflow efficiency.
- Light lifting and carrying will be required (20-30 lbs).
Who You Are
- Bachelor’s Degree with 1+ year of professional experience (retail, consumer goods, or project management preferred), or equivalent work experience in lieu of degree
- Strong project and time-management skills, with the ability to multitask effectively
- Excellent interpersonal skills, with the ability to collaborate effectively with individuals and teams at all levels of the organization, including international teams
- Ability to problem solve and escalate issues as discovered with keen attention to detail, accuracy, and efficiency
- Enthusiasm for learning and professional growth within a dynamic environment
- Ability to embrace transparency and adapt to shifting priorities, while learning from each decision and maintaining focus on progress
- Comfortable working with minimal supervision and the ability to be on site full time

Leapfrog is currently operating under a hybrid work model, and this position will report on site to our Lincoln Park office at least 2 days per week. Additional ad-hoc in office days may be required based on business needs. Please do not apply if you are not comfortable with a hybrid work model.
Salary Band
$50,000-$60,000 plus bonus, full-time, salaried, exempt, hybrid
Please note: Most candidates can expect to be positioned within the low to mid-range of the designated compensation band. This approach is designed to set realistic expectations while providing employees with the opportunity for growth and development within their roles. Placement toward the higher end of the band may be considered based on relevant experience, specialized skills, and other qualifications.
