As the Intake Office Coordinator for our brand-new San Diego office, you are the face of the firm and the architect of the "red-carpet experience" for every client who walks through our doors.


You’ll be the engine that keeps the office running, balancing high-stakes coordination between clients and legal teams with the technical precision of fingerprinting and case management. We aren't looking for someone to just follow a script; we need a proactive problem-solver who can manage a lobby full of people with grace, handle sensitive documentation with ruthless attention to detail, and ensure our clients feel seen and supported from the moment they arrive.

Your Key Contributions

  • The First Impression: Greet and assist clients upon arrival, ensuring the welcoming area is professional, clean, and stocked.
  • The Technical Gatekeeper: Conduct initial assessments, verify documentation, and handle the end-to-end fingerprinting process for FBI submission.
  • Workflow Mastery: Prepare intake folders, scan contracts, and manage the flow of physical and digital documents into our case management system with total accuracy.
  • Client Advocacy: Answer and direct calls, confirm or reschedule appointments, and ensure every client inquiry reaches the right department.
  • Operational Support: Manage office supply inventory and handle client payments following strict safety procedures.


What Makes You a Great Fit

  • Bilingual Excellence: You must be fully fluent in both English and Spanish with the ability to communicate complex info clearly in both.
  • Service Veteran: You have 1–3 years of experience in customer service and know how to de-escalate stress with a smile.
  • Detail Obsessed: You don't just "check boxes"—you ensure every scan is clear, every folder is perfect, and every KPI is met.
  • Tech Savvy: Proficient in Microsoft Office and comfortable learning new case management software quickly.
  • Self-Starter: You have the ability to work independently, multitask, and prioritize work without being micromanaged.
