Our client is a specialty coffee business that operates across the coffee supply chain to service both wholesale customers and retail consumers. They roast coffee beans sourced directly from coffee farms and supply them to specialty coffee shops around Houston in Texas, USA. On the retail front, it operates 2 owned coffee shops and manages 2 other coffee shops for 3rd party owners. For the retail consumer, they want to make coffee accessible to the public with weekly coffee training classes and help their retail customers achieve their coffee-related goals. On the wholesale front, they supply roasted coffee beans to many other cafes in Houston. Besides this, they also operate a coffee equipment servicing business, which maintains and repairs coffee machines for wholesale customers.

With extensive expertise in sourcing, roasting, cafe management, coffee machine servicing & maintenance, they are a coffee company driven by the goal of creating a more beautiful and impactful world within the specialty coffee industry.

Overall purpose and responsibilities of the role:

The company is looking to hire an accountant in the Philippines to report directly to the Finance Director to help manage the entire finance, accounting and payroll administration aspects of a dynamic and rapidly growing coffee business located in Houston, Texas, USA.

The Company comprises a retail business, a wholesale business, and a coffee equipment servicing business. The retail business serves retail customers from its own original flagship café, a second Downtown CBD café, and a few other 3rd party cafes under management contracts.

The wholesale business operates a roastery which supplies roasted coffee beans to a range of wholesale customers. The coffee equipment servicing business provides repair & maintenance services to other cafes.

Requirements

Duties and Responsibilities:

The tasks listed below apply to the retail, wholesale, and servicing businesses of the Company. The successful candidate for this job will work across the entire group of businesses.

  • Oversee all financial transactions, such as bank reconciliations, and manage the accounts payable and accounts receivable processes.
  • Routine bookkeeping includes maintenance of the general ledger and safeguarding the accuracy of the general ledger and reconciliation of accounts. Do journal entries, period-end adjustments, prepare balance sheets, and monthly financial reports

Accounts Receivable (AR)

  • Generate customer invoices from Xero as required
  • Perform debtor accounts reconciliations
  • Active management of accounts receivable by communicating directly with customers to collect overdue payments.
  • Provide a weekly AR report to the Finance Director
  • Any other AR-related work

Accounts payable (AP)

  • Publish supplier invoices from Hubdoc – ensure that expenses are coded to the correct accounts and tax is correctly applied
  • Reconcile transactions in Xero
  • Perform monthly bank reconciliations
  • Any other AP-related work

  • Prepare monthly sales tax report for sales tax payment to the Texas Comptroller
  • Prepare, update, and summarize financial reports on a monthly basis
  • Forecast, update, and develop annual budget
  • Monthly reconciliation of all accounts
  • Cost accounting projects to track costs across a range of activities to maximise cost savings and improve operational efficiencies
  • Prepare Monthly Reports for management
  • Prepare Quarterly Reports for investor distribution
  • Payroll – prepare and/or review payroll worksheets every fortnight, ensure payroll accuracy and timeliness to resolve any timesheet discrepancies and issues
  • Maintain, track, and calculate sales commissions
  • Perform cost tracking to ensure all financial data is inputted accurately and classified by project and cost description in spreadsheets and Xero
  • Prepare annual financial statements for tax preparation
  • Ad hoc projects and general administrative duties as required by the Finance Director

Must-have Skills / Qualifications:

  • Previous experience as an Accountant of about 3 to 5 years.
  • CPA is preferred but not required
  • Experience in working night shift/graveyard shift (US SHIFT) is strongly preferred but not required.
  • Experience with Xero accounting software or similar is preferred but not required
  • To succeed with the part US and part Australian working hours, the ability & willingness to be flexible with working with & around such hours is crucial
  • Able to work well as part of a team of “remote” colleagues based in several locations
  • Able to communicate and work successfully with the core operational team based in Houston, Texas.
  • High proficiency with Microsoft Excel is a requirement
  • Meticulous attention to detail and the ability to spot errors

Job Type: Full-Time Permanent

Schedule:

Full time position working about 40% USA hours and 60% Australian hours every day from

Mondays to Fridays. 

  • Australian hours – 1PM to 6PM AEST
  • USA hours – 9AM to 12PM CST

Note:  When daylight saving changes occur twice a year in both CST & AEST, the candidate’s working hours in Philippines will change accordingly to follow CST & AEST daylight saving changes
