Job Overview

We are looking for a highly organised and proactive Administrator to join our dedicated team at Marie Curie Hospice Glasgow. In this vital role, you will provide comprehensive clerical and office support to the place-based team, helping to ensure the smooth running of day-to-day operations. You’ll play a key part in supporting managers by booking meetings, preparing agendas, producing accurate minutes, and handling a range of delegated administrative tasks. With excellent communication skills and a keen eye for detail, you’ll deliver a high standard of service to both internal colleagues and external contacts. What you will be doing:  

  • Support managers and leaders by organising meetings, preparing agendas, taking accurate minutes, and maintaining action logs 
  • Deliver a range of administrative tasks including photocopying, proofreading, scanning, filing, and document collation 
  • Draft basic correspondence for internal and external contacts, ensuring clarity and professionalism 
  • Maintain confidentiality while supporting day-to-day service operations, including data entry into IT systems 
  • Answer incoming calls and manage external enquiries professionally, ensuring they are directed appropriately and handled efficiently 
  • Use Microsoft Office applications and MS Teams regularly to support communication and workflow 
  • Manage incoming and outgoing mail, and arrange travel and accommodation bookings as required 
  • Use clinical record systems to log referrals, discharges, and maintain clinic lists and appointments 

What we’re looking for:  

  •  Experience working in an administrative role or within a customer-facing environment 
  • Up-to-date knowledge of administrative procedures, including accurate minute-taking and meeting support 
  • Proficient in Microsoft Office applications and confident using wider systems to support service delivery 
  • Excellent communication skills with a collaborative approach to working within a team 
  • A flexible and adaptable attitude, with the ability to respond to changing service needs 
  • Strong organisational skills and attention to detail, with a proactive and professional mindset
