As Chief of Staff, you are the force multiplier for the Head of Integration Success. You make sure the team is focused, priorities are clear, and execution is happening. You’ll be the connector between leadership, the team, and other departments—turning vision into action and making sure nothing slips through the cracks.

Accountability

You will have the below primary areas of focus, with the expectation that you will be measured on your ability to keep the Integration Success team aligned, efficient, and focused. That means:

  • Translating departmental goals into projects, plans, and measurable outcomes.
  • Building and maintaining processes and SOPs so the department runs smoothly.
  • Owning HubSpot data, reporting, dashboards, automations, and surveys to give visibility into client retention, churn, and overall account health.
  • Overseeing talent transitions and Diver offboarding flows, ensuring clients experience seamless handovers.
  • Prepping the team for integration calls and weekly meetings, often using AI-driven insights.
  • Tracking special projects and to-dos for the Head of Integration Success using tools like Asana or Monday.
  • Supporting the IS Team with creation of resources like Client/Diver playbooks to help each Partnership operate optimally.
  • Acting as the voice of the Head of Integration Success in internal meetings when needed.

Colleagues

Your primary partner is the Head of Integration Success, who you’ll support directly as their strategic right hand. You’ll also work closely with:

  • The broader Integration and Diver Success teams, to support transitions, offboarding, and ongoing account health.
  • Talent Acquisition and Training, making sure feedback loops flow between clients, Divers, and internal teams.
  • Sales and Leadership, when churn insights or retention trends can help shape client growth and expansion.

This role reports to Katie Scarpa, Head of Integration Success.

Skills and Qualifications

At Oceans, we believe in T-shaped people: one area of deep vertical expertise, with broad horizontal awareness. As Chief of Staff – Integration Success, the legs of your T should be in operational execution and strategic support. The arms should extend into data, process optimization, cross-functional collaboration, and storytelling with insight.

  • Deep experience in operations or strategic project management preferred
  • Strong hands-on skills with HubSpot (or similar CRM): reports, dashboards, automations, data management.
  • Proven experience creating and maintaining SOPs and process playbooks.
  • Comfortable analyzing churn trends, building health scores, and surfacing retention insights.
  • Excellent communicator: able to draft executive-level updates, run meetings, and represent leadership.
  • Strong organizational skills with a track record of keeping leaders focused and projects moving.

  • Cross-Functional Awareness – Do you understand how Integration Success connects to Sales, Diver Success, Talent Acquisition, and Training?
  • Ownership & Follow-Through – Can you track projects, tasks, and to-dos reliably so nothing gets dropped?
