We’re hiring an Operations Associate to support a fast-growing premium home goods brand specializing in handcrafted products sold across e-commerce and wholesale channels. In this role, you’ll streamline backend operations, manage order processing, coordinate with suppliers and customers, and ensure smooth fulfillment workflows across digital systems.

Accountability
As an Operations Associate, your success will be defined by your ability to ensure operational accuracy, streamline processes, and maintain excellent communication between internal teams, vendors, and customers.
Here’s how you’ll make an impact:
Order & Operations Management
- Process daily e-commerce and wholesale orders, ensuring accurate SKU tagging and order categorization.
- Track purchase orders, confirm details, and maintain accurate vendor data across platforms.
- Manage fulfillment tasks including shipping labels, packing slips, and order updates.
- Maintain detailed operational records across platforms such as Shopify, QuickBooks, and ShipStation.
Custom Order Coordination
- Organize and track custom and semi-custom order workflows.
- Monitor lead times, material delays, and supplier updates, escalating risks when needed.
- Communicate proactively with customers on timelines, approvals, and updates.
- Coordinate with production and fulfillment partners to ensure on-time delivery.
Customer & Vendor Communication
- Manage professional communication across email, phone, and chat systems.
- Provide timely support to customers, designers, and retail partners.
- Send order confirmations, manage expectations, and follow up on delivery timelines.
- Update AI-powered chat tools and monitor customer interactions to ensure responsiveness.
Product & Merchandising Support
- Upload and manage product listings, pricing, and descriptions on e-commerce platforms.
- Support website merchandising and content updates for improved product visibility.
- Use AI tools to enhance product images and generate marketing visuals (training provided).
- Ensure product data accuracy and category alignment across digital catalogs.
Colleagues
You’ll work directly with leadership and collaborate closely with cross-functional partners in operations, customer support, and fulfillment.

Skills & Qualifications

As an Operations Associate, your vertical focus will be on operational excellence — managing orders, vendors, and workflows with precision. Your horizontal focus will include communication, technology adoption, and process improvement to ensure a seamless customer and internal experience.
To excel in this role, you should have:
- Experience: 2–4 years in operations, e-commerce, or administrative coordination.
- Technical Tools: Experience with Shopify or other e-commerce platforms; familiarity with order management and fulfillment software (e.g., ShipStation, QuickBooks).
- Organization: Strong time management and attention to detail, with the ability to handle multiple priorities.
- Communication: Excellent written and verbal English; professional, proactive communicator.
- Process Orientation: Ability to follow structured workflows and suggest improvements.
- Analytical Ability: Intermediate Google Sheets/Excel proficiency (VLOOKUP, data tracking).
- Mindset: Reliable, resourceful, and comfortable working independently in a fast-paced environment.
Bonus skills:
- Experience supporting founders or small business teams.
- Background in home décor, interior design, or product manufacturing.
- Experience creating SOPs or improving workflows.
- Familiarity with AI tools (ChatGPT, DALL·E) for creative or merchandising tasks.

Role Specifications
This is a remote role, where you will be expected to work a split shift with some overlap with our client’s time zone. You will, however, be expected to be present for in-person training programs during your first 90 days with us.
