Job Overview

Purpose of the Job 

The successful candidate will report into the Manager or Senior Manager of Investor Services. The candidate must understand all aspects of the investor services processes related to each type of fund structure as serviced by Ocorian. 

To provide professional administration support to a varied portfolio of clients for which Ocorian provides services and to comply with the business' Policies and Procedures at all times. 

The description of key responsibilities and tasks below is for guidance only and is subject as the role develops. 

Main Responsibilities 

  • Collaborate closely with the CDD/Investor Onboarding team to ensure investors are accurately and efficiently onboarded.  
  • Update / review investor data within systems (eFront/Paxus), ensuring accuracy and completeness at all times.  
  • Maintain shareholder registers and investor records in line with regulatory and internal requirements.  
  • Execute periodic distribution processes (monthly, quarterly, or as required) for a growing client portfolio.  
  • Prepare client deliverables in accordance with agreed timelines and client-specific reporting calendars.  
  • Ensure high-quality standards and accuracy across all client deliverables.  
  • Liaise with Accounting teams to support capital calls, distributions, and other investor-related activities.  
  • Ensure FATCA/CRS information is obtained, validated, and maintained in compliance with applicable guidelines, coordinating with the FATCA team and investors as required.  
  • Process investor transactions, including subscriptions, redemptions, transfers, and switches, and maintain effective communication with clients and investors.  
  • Perform transaction monitoring in relation to capital activity, ensuring compliance with internal controls and regulatory expectations.  
  • Prepare and distribute investor statements and related communications.  
  •  Support investor reporting requirements, ensuring awareness and adherence to deadlines.  
  • Ensure compliance with internal policies, procedures, and regulatory requirements.  
  • Proactively identify risks and escalate issues to the Manager and Management team where appropriate.  
  •  Develop an understanding of the regulatory and legal framework (e.g., Companies Act, Securities Act) and client constitutional documents (e.g., LPA).  
  • Act as a key point of contact for investor-related queries within the scope of responsibility.  
  • Maintain strict confidentiality, integrity, and availability of all client and company information.  
  • Ensure accurate time recording in line with company policies.  
  • Comply with all information security policies, procedures, and guidelines.  
  • Support additional tasks and responsibilities as required by Management or Directors.
