Pay Range: $81,000 - $90,000 annually


JOB SUMMARY:  

The SUD Program Manager / LADC-ADCT plays an influential role in providing leadership, guidance and coaching to the LADC/ADC-T Counselors and Interns in a virtual environment.  The objective is to assist and hold counselors accountable to ensure they are achieving their goals, performing according to company standards, and that they have a clear understanding of agency processes as it pertains to the 12 core functions.  

PRIMARY JOB DUTIES: 

The SUD Program Manager / LADC-ADCT is responsible for overseeing the LADC/ADC-T Counselors and ensure that they are effectively providing education, counseling, and treatment to clients within the Intensive Outpatient programs according to the requirements mandated by the MN Department of Human Services (DHS) and 245G. Responsible for auditing their counselor’s documentation of the provision of treatment services including the Initial Service Plan, Comprehensive Assessment, Individual Treatment Plan, Progress Notes, Summary of Termination of Services, Continuing Care Plan, and the maintenance of client records. The SUD Program Manager / LADC-ADCT is responsible for providing direct services for clients and covering client caseloads as needed.  

ESSENTIAL SUPERVISORY DUTIES: 

  • Verify that all client documentation is completed and maintained in accordance with 245G and TelyGo policies. 
  • Conduct annual performance reviews and provide coaching or corrective action, as necessary. 
  • Lead, mentor, and supervise LADC/ADC-T Counselors and Interns. 
  • Ensure counselor staffing levels are appropriate and maintain weekly group facilitator schedules. 
  • Confirm that at least 25 percent of a counselor's scheduled work hours be allocated to indirect services, including documentation of client services, coordination of services with others, treatment team meetings, and other duties. 
  • Ensure counselors deliver a minimum of 28 billable direct client contact hours per week. 
  • Ensure justice or correctional stakeholders, and other relevant parties, are notified at admission and invited to participate in meetings, maintaining ongoing communication throughout the client’s treatment experience. 
  • Confirm that Treatment Reviews are faxed or emailed weekly for each client. 
  • Maintain a weekly counselor on-call list to ensure group coverage. 
  • Maintain accurate clients lists daily. 
  • Manage program budgets. 
  • Provide supervision to SUD Techs and PRS staff. 
  • Monitor program metrics weekly to ensure program efficacy. 
  • Audit and approve all rendered services at the end of each treatment week. 
  • Ensure virtual environment safety, including communicating needed repairs or troubleshooting virtual service issues. 
  • Review program curriculum with Director annually or more frequently if needed. 
  • Establish and maintain contact with insurance providers to provide pre-certification information and ongoing clinical review to ensure clients’ continued eligibility. 
  • Ensure ongoing communication is maintained with client referrals, probation officers, social service agencies, and other stakeholders. 

TREATMENT SERVICES: 

  • Provide direct virtual or in-person client services as needed. 
  • Maintain knowledge and understanding of all TelyGo processes as they pertain to the 12 Core Functions and program model. 
  • Knowledge and understanding of the TelyGo program model. 
  • Verify that the agency has a designated person responsible for clinical operations at all times. 
  • Ensure each client receives an Initial Service Plan at service initiation addressing immediate health, safety, and preliminary service needs, and that the standardized intake process is followed. 
  • Confirm that a comprehensive assessment and assessment summary of the client’s chemical use problems is coordinated by an alcohol and drug counselor and completed within three calendar days of service initiation, formatted according to ASAM criteria. 
  • Verify that an Individual Treatment Plan is developed after completion of the comprehensive assessment, amended as needed until service termination. The plan must include individualized methods to address identified problems, client goals, and referral resources. 
  • Ensure that progress notes be entered in each client’s file weekly or after each treatment service. The progress notes must reference the individual treatment plan.  
  • Follow up to confirm that discharge summaries are completed within five days of client termination. 
  • Ensure uniform content and format for client records, with all entries signed and dated by the staff member responsible.  
  • Complete weekly audits to ensure accuracy and timeliness of clinical charts.  
  • Provide assistance and oversight during client crisis situations. 
  • Ensure crisis intervention counseling is provided according to individual client needs. 
  • Confirm the provision of individual and group counseling, client education, transition services, and services addressing co-occurring mental health conditions. 
  • Ensure clients are screened for mental health needs and referred appropriately, with documentation of all screenings and referrals. 

KNOWLEDGE & SKILLS: 

  • Expertise in substance use disorder (SUD) and co-occurring mental health treatment. 
  • Leadership, coaching, and team management skills. 
  • Ability to maintain professional boundaries and work ethically with clients. 
  • In-depth understanding of 12 Core Functions, DHS/245G requirements, and agency policies. 
  • Knowledge of HIPAA and ability to maintain confidentiality. 
  • Effective verbal, written, and interpersonal communication skills. 
  • Ability to manage emotionally intense client interactions in a remote setting and follow virtual crisis response protocols. 
  • Critical thinking, problem-solving, and crisis management capabilities. 
  • Competence in technology for documentation, scheduling, and telehealth client services. 
  • Ability to engage empathetically and ethically with clients and staff. 
  • Must have basic IT troubleshooting skills (audio/video, connectivity, login issues, etc.) 

REQUIRED QUALIFICATIONS: 

  • Minimum 18 years of age. 
  • Must have an active LADC License or Temporary Permit (Program Manager Only) 
  • Bachelor’s degree or higher in a related field or currently pursuing one.  
  • Obtain 12 hours of training in co-occurring mental health problems training within 6 months of hire. 
  • 1-3 years of supervisory experience in the field.  
  • Ability to use platforms such as Zoom and Teams. 
  • Ability to use EHR (Ritten) and other electronic tools for documentation 
  • When also acting as LADC Supervisor: 
  • Meet the qualification requirements of a Licensed Alcohol and Drug Counselor Qualifications. 
  • Have three or more years of experience providing individual and group counseling to individuals with substance use disorders. 
  • Know and understand the implications of Minnesota Statute 245G, including sections 245A.65, 626.557, and 626.5572, and chapter 260E. 
  • Must be free of substance use problems for at least the 2 years preceding hire.  
  • Ability to successfully complete MN Department of Human Services background study. 
  • Demonstrated ability to use technology effectively for documentation, communication, scheduling, and treatment services. 

PREFERRED QUALIFICATIONS: 

  • Proficiency in utilizing Ritten.  
  • Master’s degree in related field.  
  • 3-5+ years of supervisory experience in the field.  
  • Experience with Ritten or other electronic health records system(s). 
  • Additional licenses (preferred but not required): LPC, LPCC, LICSW, LP, LGSW, LMFT 

WORK ENVIRONMENT & PHYSICAL REQUIREMENTS: 

  • Work is performed in a remote home office environment using secure telehealth and electronic health record platforms. 
  • Must have a private, confidential workspace free from interruptions during client sessions. 
  • Requires reliable high-speed internet, webcam, and audio equipment suitable for video-based counseling. 
  • Must be able to sit for extended periods and engage with clients via video conferencing. 
  • Must be able to visually observe clients and respond to verbal and non-verbal cues through video platforms. 
  • Must maintain professional appearance and appropriate on-camera presence during video-based services, supervision meetings, and team meetings. 
  • Must adhere to HIPAA, 245G, and organizational security requirements for remote work, including safe storage of equipment and secure handling of electronic records. 
  • Must follow all safety protocols to ensure personal, client, and staff safety. 

CONTINUED EDUCATION AND TRAINING: 

  • Complete continuing education courses as required by the State of Minnesota.  
  • Attend company and TelyGo supervisor training, staff meetings, and professional development opportunities. 
  • Stay current on professional research, techniques, and industry best practices. 
  • Proactively schedule supervisor meetings regularly and/or as needed in soliciting feedback on performance, progress, and growth opportunities.
