Role Overview

The Office of the CEO (OCEO) is a lean, high-impact function designed to maximize executive leverage, ensuring the CEO’s time, energy, and focus are devoted to the highest-impact work.

As the Special Assistant to the CEO, you serve as the CEO’s primary in-person support, accompanying her in all business meetings – virtual, in-person, and during travel. Through seamless execution of day-of logistics and preparation, you enable the CEO to remain fully focused on decision-making and leadership priorities.

You act as the key operational liaison between the CEO and the OCEO Team, the Leadership Team, and the GTM Team, ensuring smooth collaboration, alignment, and execution. Working closely with Executive Operations, you help execute priorities flawlessly on the ground, ensuring the CEO’s schedule, meetings, and engagements are managed with precision.

This role focuses on operational execution, complementing Executive Operations’ strategic management of time, communications, and information flow.

What You’ll Do

In-Person CEO Support & Time Management

  • Serve as the CEO’s primary on-site support in Fairfield, Oakland, and San Francisco offices, and during business travel across the country.

  • Keep the CEO on schedule, actively managing transitions and protecting deep work time for high-impact priorities.

  • Monitor time in real time; flag delays, overruns, or schedule risks, and proactively adjust plans to maintain seamless flow.

Physical Logistics & Daily Readiness

  • Anticipate and manage all day-of operational needs, including office readiness, meals, errands, supplies, and ad-hoc logistical requests.

  • Drive the CEO between offices, meetings, and other engagements, ensuring safe and timely transport.

  • Prepare meeting spaces and office environments to maximize productivity and minimize disruptions.

Coordination & Liaison Responsibilities

  • Act as a key operational liaison between the CEO and the OCEO Team, Leadership Team, and GTM Team, ensuring alignment and effective collaboration.

  • Partner closely with Executive Operations to ensure calendar priorities, communications, and briefings are executed seamlessly.

  • Reflect on-the-ground realities – timing, traffic, energy, logistics – in daily execution and communicate updates proactively.

Operating Playbook Adherence & Continuous Improvement

  • Follow and reinforce the operating playbook for in-person CEO support, maintaining the highest standards of preparation and execution.

  • Provide thoughtful feedback to improve routines, workflows, and overall effectiveness of CEO support.

What Will Help You Succeed

  • Experienced: 3-4+ years in administrative, executive, or in-person support roles.

  • In-Person Ready: Comfortable being physically present and available throughout the day, including business travel.

  • Organized: Exceptional attention to detail and proactive time management.

  • Service-Oriented: Flexible, calm under pressure, and energized by supporting a fast-moving executive.
