Executive Support
Provide high-level administrative and organizational support to the GM and administrative support to HR Director
Manage GM’s and HR Director’s calendar, travel arrangements, and correspondence with exceptional accuracy, professionalism, and confidentiality.
Maintain confidentiality in all communications and decision-making processes, especially related to HR matters and high-level strategic plans.
Coordinate meetings, briefings, and follow-ups to optimize the GM’s schedule and ensure effective time management.
Provide in-depth research and summaries for meetings, projects, or decisions to ensure the GM is fully informed and prepared.
Act as the key contact between the GM and HQ partners, clients, and Red Bull’s network. Build and maintain strong relationships ensuring seamless communication and collaboration.
Planning, Organization, and Communication
Manage all planning, communication, and organizational needs to ensure smooth daily operations.
Organize large, medium, and executive meetings (global/regional/local) with other stakeholders.
Coordinate internal and external communication within the organization and with external partners.
Participate in selected internal meetings to deliver accurate documentation and coordinate follow-up actions.
Represent the GM and the organization in ext events/meetings when required, ensuring highest level of professionalism.
Project/Meeting Management
Track progress on ongoing projects, and coordinate deliverables
Lead kick-off, townhall and MBR meeting and support logistics for special projects.
Take project responsibility that goes beyond basic support & contribute accordingly.
Documentation and Reporting
Prepare reports, presentations, and confidential documents.
Assist with expense reporting and collaborate with travel agents to arrange bookings.
Cross-Functional Collaboration
Provide support as Coordinator for all competition related topics under supervision of Legal Counsel and LT members
Provide support as partner for cross functional projects if needed
HR Function Support
Organizing Townhall Meetings & Happy Hours with support HR & Ops & On Premise
Admin:
Ordering office access cards for new employees
Preparing welcome kits for new hires and delivering them to the employees
Preparing announcements departures, and baby news
Recruitment:
Organizing interviews with candidates via SmartRecruiters on behalf of TA Manager and the managers, including confirming with the candidate by phone and sending the invitation through the system
Booking and organizing the meeting room for onsite interviews
Welcoming candidates when needed and escorting them to the meeting room
Organizing global or local trainings
Organizing accommodation and flight tickets for participants attending from out of town or abroad after receiving the participant list from HR
Arranging transfers for trainers or participants who request airport transportation
Obtaining guest cards from Operations for participants who do not have access cards and delivering them to the individuals
Organizing the seating arrangement in the meeting room where the training will take place, in line with the guidelines. Organizing the necessary equipment for the training, such as flipcharts, board markers, post-its, workbooks ect.
Managing reservations if lunch will be held outside, or placing an order to the office if lunch will be held on-site
