We’re seeking a proactive and detail-oriented Company Administrator to support a fast-growing UK-based events company. This pivotal role ensures seamless coordination between sales, finance, operations, and speaker management. As the operational backbone of the team, you’ll play a key part in keeping processes running smoothly—especially during high-demand event periods.

Salary: R35,000 per month
Requirements
Key Responsibilities
Sales & CRM Support
- Manage MapD registrations and process exhibitor orders.
- Update HubSpot CRM: maintain pipelines, create event boards, and manage contact/company records.
- Assist in editing/sending contracts and ensure proper Google Drive filing.
- Maintain sales documentation, inventory, and assist with formatting sales decks.
- Follow up on invoices (early-stage chasing) and keep invoice logs updated.
Operations & Admin
- Respond to Zendesk support queries.
- Track and update rolled-over event tickets via Monday.com.
- Conduct contract comparisons, quote checks, and discrepancy flagging.
- Collect and analyse data for reports and revenue tracking.
- Liaise with the Ops team for exhibitor package coordination, booth setup, and ticket allocations.
- Provide support for FFair platform uploads, proofread manuals, and ensure accurate event documentation.
Speaker Liaison (Approx. 15%)
- Assist with speaker contracts, submissions, RSVPs, asset collection, and travel arrangements.
- Coordinate slide reviews and proofread speaker materials.
- Update agendas, organise speaker passes/hotels, and provide on-site support during events.
- Handle speaker thank-you communications and invoice processing.
Finance Admin
- Raise, send, and track invoices.
- Record and follow up on payments.
Qualifications & Experience
- 2+ years’ experience in administrative, operational, or event coordination roles.
- Proven attention to detail, accuracy, and ability to handle multiple priorities.
- Strong communication and organisation skills with a proactive mindset.
- Tech-savvy: experience with tools like HubSpot, Google Workspace, Monday.com, and Zendesk preferred.
- Ability to learn new systems quickly and work independently with minimal supervision.
- Must have a laptop and reliable internet connection.
- Interest in the health/wellbeing sector is a plus and supports alignment with company purpose.
