The Preconstruction Coordinator plays a critical role in keeping RMCI’s Preconstruction and Estimating teams organized, informed, and moving efficiently. This position manages document control, supports bid and pursuit efforts, and ensures seamless coordination across internal teams, external partners, and business development activities. By maintaining structure, accuracy, and communication, the coordinator strengthens RMCI’s ability to pursue and deliver projects with confidence.
Responsibilities
- Preconstruction:
- Handle TradeTapp requests and route to internal teams
- Track active MSAs/MPAs
- Manage and archive NDAs
- Serve as Docusign admin for preconstruction and contracts
- Document preconstruction and estimating meetings
- Track cross-functional ARs and coordinate needs
- Work with Marketing on proposals and interview presentations
- Estimating
- Bid Document Coordination: Organize all project files.
- Bookmarking & Labeling: Mark contract documents clearly.
- Slip Sheeting: Insert sketches, RFIs, and amendments into contract documents.
- Building Connected: Create consistent file structures for solicitation.
- Business Development
- Update and manage CRM leads, opportunities, and pursuits
- Direct inquiries from prospective subcontractors, vendors, or clients to the relevant team members.
- Arrange meet-and-greets with potential clients
- Track relevant external events
Qualifications
- Experience in construction, preconstruction, estimating, or related administrative support roles
- Strong organizational skills with the ability to manage multiple deadlines
- Proficiency with Microsoft Office Suite; familiarity with Bluebeam, Building Connected, and CRM platforms preferred
- Strong written and verbal communication skills
- High attention to detail and commitment to accuracy
- Ability to collaborate effectively with cross‑functional teams
- Professionalism in handling confidential documents such as NDAs, MSAs, and MPAs
- Driven, flexible, and able to thrive in high-speed work environment
Education & Certifications
- Required
- Relevant experience in administrative roles, project coordination, or providing support within the construction industry
- Preferred
- Associate or Bachelor's degree
- Experience in general contracting
