Job Overview

Role Summary

The Administrative Assistant for the Center of Excellence (CoE) provides high-quality administrative, coordination, and operational support to ensure smooth day-to-day functioning of the CoE. This role reports to senior director and supports CoE leaders and program teams by managing schedules, documentation, logistics, and internal processes, enabling the CoE to operate efficiently and focus on strategic outcomes.


Key Responsibilities

Administrative & Operational Support

  • Provide administrative support to CoE leadership and core team members
  • Manage program calendars, meetings, agendas, and action item tracking
  • Coordinate cross-functional activities across teams and stakeholders
  • Maintain CoE documentation, templates, repositories, and knowledge artifacts

Communication & Coordination

  • Act as a point of contact for CoE-related programs and queries
  • Coordinate with internal stakeholders
  • Support preparation and distribution of internal communications and updates

Reporting & Tracking

  • Maintain trackers for meetings, action items, milestones, and deliverables
  • Support preparation of basic reports and dashboards as required

Knowledge Management

  • Maintain CoE portals, repositories, and collaboration spaces
  • Ensure content is current, structured, and easily accessible

Required Qualifications & Skills

  • Bachelor’s degree or equivalent experience
  • 2–5 years of experience in an administrative or coordination role
  • Strong organizational and time-management skills
  • Proficiency with MS Office and related tools
  • Clear written and verbal communication skills
  • High attention to detail and confidentiality
  • Ability to manage multiple initiatives and deadlines
  • Proficiency with presentation tools and collaboration platforms

Preferred Skills

  • Experience supporting leadership or program teams
  • Exposure to tools such as Teams, SharePoint
  • Exposure to PMO, CoE, or transformation initiatives
