We are looking for an experienced and proactive Facilities Manager to oversee the day-to-day operations and maintenance of our head office in Surry Hills, Sydney. Reporting to the Director, Workplace Experience & Community you will ensure our workplace is safe, functional, efficient, and a great place to work. You believe in designing and maintaining a seamless workspace that delights, welcomes and excites our employees. This is a hands-on role that requires strong organisational skills, a practical mindset, and the ability to manage multiple priorities simultaneously.
You'll become an internal champion of our product, SafetyCulture, using it to run the operation. You’ll also mentor and support our Workplace Concierge who reports directly into this role.

Key Responsibilities

Manage all aspects of building operations including HVAC, electrical, plumbing, and general maintenance

Coordinate and oversee preventative and reactive maintenance programs

Liaise with landlords, building management, and external contractors

Conduct regular building inspections and ensure any issues are resolved in a timely manner
-
Use SafetyCulture to build long term asset management plans
-
Ensure the workplace complies with all relevant WHS legislation, building codes, and regulatory requirements

Maintain and update safety plans, emergency procedures, and risk registers
-
Conduct and coordinate regular safety audits, drills, and training sessions
-
Manage incident reporting and investigation processes

Use SafetyCulture to develop training programs to improve building operations

Source, engage, and manage security service providers, covering both hardware (access control, CCTV, alarms) and software platforms (in collaboration with IT)

Oversee the configuration and ongoing maintenance of all security hardware across the office, including managing warranty claims and equipment replacements (RMAs)

Serve as the first point of contact for security incidents, managing breach response, fault troubleshooting, and escalation as required

Maintain and update system configurations including alarm schedules, access permissions, and vendor access protocols

Conduct regular audits of security systems to ensure they are operational, up to date, and aligned with company policy

Source, engage, and manage facilities-related service providers (cleaning, security, waste management, catering, etc)

Review and negotiate contracts to ensure value for money and service quality

Monitor contractor performance against agreed SLAs and KPIs

Support office space planning, moves, and reconfigurations

Manage meeting room and shared space allocation

Support fit-out and refurbishment projects from planning through to completion

Provide regular reporting on space utilisation to inform planning decisions and optimise workplace efficiency

Prepare and own the facilities budget

Support CapEx planning and execution

Track expenditure and identify cost-saving opportunities

Provide regular reporting to senior management on facilities performance and projects

About You
-
5+ years of experience in a facilities management or building operations role
-
Tertiary qualification in Facilities Management, Property, Engineering, or a related field (or equivalent experience)

Sound knowledge of building systems, maintenance practices, and WHS requirements
-
Proven experience managing contractors and service providers
-
Strong organisational and problem-solving skills with a hands-on approach

Excellent communication and stakeholder management abilities

Ability to manage competing priorities and respond effectively to urgent issues
