We are seeking a highly organized and adaptable Bookkeeper Executive Virtual Assistant to provide high-level administrative support. This dynamic role blends executive assistance with bookkeeping and property management coordination.
Key Responsibilities:
- Manage email and calendar communications with precision and discretion
- Coordinate meetings, appointments, and schedules
- Track projects and ensure timely progress updates
- Facilitate team communication and manage resource coordination
- Provide HR tracking support, such as onboarding documentation and staff updates
- Assist in light property management coordination
- Perform basic bookkeeping tasks:
- Data entry and transaction categorization
- Invoice tracking and follow-up
- Generate simple reports using QuickBooks Online and Buildertrend
Requirements
- Has at least 2 years of Executive Virtual Assistant experience or similar to it
- 1- 2 years of hands-on experience with QuickBooks (Online or Desktop), including reconciliation and basic reporting
- Familiarity with tools such as MS Outlook (email, calendar, contacts), MS Excel, Word, QuickBooks Online, Buildertrend (training will be provided)
- Able to quickly learn new software and adapt to existing workflows
- Learn Vonage Business phone system
- Strong understanding of cost coding, GL categorization, and financial data accuracy.
- Able to identify, clean up, and suggest corrections for legacy bookkeeping errors.
- High attention to detail and willingness to ask clarifying questions when needed.
