Job Overview

The Admin & HR Officer ensures the smooth operation of both administrative and human resources functions. This role provides vital support in HR processes — including recruitment, onboarding, payroll, employee relations, and compliance — while overseeing general office administration and logistics

The position requires a reliable, detail-oriented, and discreet professional who can balance people management with organizational efficiency, ensuring compliance with the Jordanian Labor Law and internal company policies.

Key Responsibilities:

A. Human Resources Responsibilities

Recruitment & Onboarding

  • Support the recruitment process from vacancy posting to final selection.
  • Screen CVs, schedule interviews, and liaise with hiring managers and candidates.
  • Prepare job offers, employment contracts, and onboarding documents.
  • Organize new employee orientations and ensure smooth integration into the team.
  • Maintain updated job descriptions, staff lists, and organizational charts.

Employee Relations & Welfare

  • Serve as the first point of contact for employees regarding HR inquiries, policies, or grievances.
  • Promote positive employee engagement and workplace culture.
  • Maintain accurate leave, attendance, and timesheet records.
  • Assist in organizing staff events, team-building activities, and welfare initiatives.
  • Handle confidential matters with discretion and professionalism.

Performance & Development

  • Support the implementation of performance appraisal systems.
  • Track employee evaluations, probation reviews, and performance feedback.
  • Maintain training calendars and coordinate staff development programs.

Compensation, Payroll & Benefits

  • Prepare monthly payroll inputs (attendance, deductions, allowances, overtime).
  • Liaise with Finance for accurate and timely salary disbursement.
  • Ensure all statutory deductions (e.g., Social Security, Income Tax) are correctly calculated and submitted.
  • Maintain up-to-date employee benefits such as health insurance, mobile plans, and allowances.
  • Manage end-of-service calculations and employee clearance.

Compliance & HR Documentation

  • Ensure all HR operations comply with Jordanian Labor Law and company policies.
  • Maintain accurate and confidential employee files, both physical and digital.
  • Prepare reports for audits, labor inspections, and internal management reviews.
  • Support visa, residency, and work permit renewals for expatriate staff in coordination with authorities.

B. Administrative Responsibilities

Office Management

  • Oversee day-to-day administrative and logistical operations of the Amman office.
  • Manage office supplies, procurement, maintenance, and vendor relationships.
  • Supervise drivers, office assistants, and support staff to ensure operational efficiency.
  • Manage office lease contracts, utilities, and service agreements.
  • Handle correspondence, document control, and internal communications.

Logistics & Coordination

  • Arrange domestic and international travel bookings, hotel accommodations, and transport logistics.
  • Support the organization of workshops, training sessions, and official meetings.
  • Coordinate visitor logistics, including transportation, hospitality, and meeting arrangements.

Document Control & Filing

  • Maintain all administrative and HR-related documentation in an organized filing system.
  • Draft official letters, memos, and announcements as needed.
  • Ensure proper archiving of contracts, invoices, and government-related documents.

Health, Safety, and Security

  • Support implementation of workplace health and safety measures.
  • Ensure compliance with local regulations regarding office safety and emergency procedures.
  • Report any safety concerns and follow up on maintenance needs promptly.
