About the role

  • We’re looking for an organized, reliable Administrative Assistant & Office Coordinator to support our CEO and CFO while also helping ensure smooth day‑to‑day coordination of our Needham office. This is a junior‑level, hands‑on role ideal for someone who enjoys keeping people and offices organized, takes pride in strong follow‑through, and is comfortable working with confidential information.
  • This role is hybrid, with an expectation of being onsite in our Needham, MA office 2–3 days per week.

What you'll do

  • Executive Support
    • Manage calendars for the CEO and CFO, including scheduling meetings and coordinating logistics across teams
    • Prepare meeting logistics (Microsoft Teams/Outlook invites, agendas, materials, and follow ups)
    • Assist with travel coordination and basic itinerary planning as needed
    • Process expenses and support administrative approvals accurately and on time
    • Help prepare documents and presentations (formatting, proofreading, version control)
  • Office Coordination (Needham)
    • Provide on-site office support 2-3 days per week, helping ensure the office runs smoothly
    • Coordinate conference rooms, visitors, and onsite meetings
    • Support basic office needs such as supplies, food orders for meetings, and day-of logistics
    • Partner with internal teams to support in-office meetings, leadership visits, and occasional events
  • Administrative Follow-Through
    • Track action items, deadlines, and administrative tasks to complete
    • Handle sensitive information with discretion and professionalism
    • Serve as dependable point of contact for administrative and office-related questions

Qualifications

  • 1–3 years of experience in an administrative assistant, coordinator, or office support role
  • Strong organizational skills, attention to detail, and reliability
  • Comfortable supporting senior leaders and adjusting as priorities change
  • Clear, professional written and verbal communication skills
  • Proficiency with Microsoft tools (Outlook, Teams, Word, PowerPoint, Excel)
  • Ability to maintain confidentiality and use good judgment
  • Must be based in Massachusetts with the ability to commute to our Needham office 2–3 days per week

 Nice to Have (Not Required)

  • Prior experience supporting executives
  • Experience in a hybrid office environment
