Location: UK based, minimum one day per week at our SE London HQ (Brockley); hybrid flexibility offered
Reports To: Events Director (with day-to-day collaboration with the Events Manager)
Collaborates with: Events Director, Events Manager, Marketing, and Client Success teams.

Role Overview
As Events Officer, you’ll play a key role in planning and delivering The PIE’s portfolio of global events, including The PIE Live conferences, The PIEoneer Awards, and bespoke client receptions and roundtables.
This is a hands-on and varied role, ideal for someone with solid experience in event planning and logistics who’s ready to step up and take more ownership of projects. You’ll collaborate closely with internal teams and external partners to ensure every event runs seamlessly, on time, on budget, and to the highest standard.
You’ll also take a lead role in delivering bespoke client events and, in time, smaller-scale PIE Live events, ensuring these experiences reflect our brand’s reputation for quality, innovation, and professionalism.

Key Responsibilities
Lead & Deliver Bespoke Client Events
- Take ownership of the planning and delivery of selected client events such as receptions and roundtables.
- Manage all aspects of event logistics, venue sourcing, supplier coordination, budgeting, and timelines.
- Collaborate with internal teams (Client Success, Editorial, Marketing) to ensure client objectives are met.
- Liaise with suppliers (venues, caterers, A/V teams, etc.) to ensure smooth and cost-effective delivery.
- Oversee on-site event delivery (UK-based) and lead post-event debriefs and reporting with clients.

Project Manage Smaller-Scale PIE Live & PIE High Events
- Support the planning and delivery of selected PIE Live and PIE High events.
- Coordinate event logistics including supplier management, budgets, schedules, and production timelines.
- Work closely with Sales, Marketing, and Client Success teams to ensure sponsor and delegate satisfaction.
- Support on-site delivery, ensuring events meet our brand and operational standards.
- Gather post-event feedback and contribute to reports and recommendations for continuous improvement.

Event Operations & Administration
Support event tech platforms including:
- Cvent – for conference registration, websites, and apps.
- Evessio – for awards entries, judging, and guest management.
- Maintain and update event websites, apps, exhibitor information, and call-for-speakers pages.
- Organise internal logistics such as travel, accommodation, and team itineraries.
- Prepare attendee and sponsor communications (joining instructions, onboarding guides, etc.).
- Manage administrative tasks including:
- Responding to attendee and awards enquiries.
- Tracking tickets and registrations.
- Issuing visa invitation letters.
- Data entry and clean-up.
- Collate and present post-event insights to internal stakeholders.

The Ideal Candidate
You may currently be working as an Events Officer, Coordinator, Events Executive, or Project Assistant and are now ready to take more ownership of your own projects and play a central role in delivering global events.

Essential:
- 2-4 years’ proven experience in events planning, production, or delivery.
- Exceptional organisational skills and attention to detail, you’re known as the most organised person in the room.
- Strong project management skills; comfortable managing multiple timelines simultaneously.
- Experience managing suppliers, budgets, and on-site operations.
- Excellent communication and interpersonal skills, confident working with clients and senior stakeholders.
- Strong copywriting and proofreading skills for event communications and marketing assets.
- Proficient with event tech platforms (Cvent essential; Evessio experience desirable).
- Calm, proactive, and reliable under pressure.

Desirable:
- Experience working on B2B or international events.
- A creative eye for event branding, content, and attendee experience.
- Collaborative and adaptable, thrives in a fast-moving, cross-functional team.
- Interest in the international education sector or global events landscape.
