Job Overview

We are seeking an experienced Smartsheet Project Lead to drive a focused initiative to modernize, optimize, and govern an existing Smartsheet ecosystem. This role requires a hands-on Smartsheet expert who will be accountable for enhancing reporting, improving automation, strengthening data models, and enabling stakeholders—ensuring the environment is scalable, reliable, auditable, and easy to maintain.
We are seeking an experienced Smartsheet Project Lead to drive a focused initiative to modernize, optimize, and govern an existing Smartsheet ecosystem. This role requires a hands-on Smartsheet expert who will be accountable for enhancing reporting, improving automation, strengthening data models, and enabling stakeholders—ensuring the environment is scalable, reliable, auditable, and easy to maintain.

Key Responsibilities

  • Assess the current Smartsheet environment including sheets, reports, dashboards, WorkApps, automations, permissions, data flows, naming standards, and archiving practices
  • Identify pain points such as duplicated data sources, manual reconciliations, fragile formulas, and inconsistent intake processes
  • Redesign and standardize operational, tactical, and executive dashboards with clear KPI visibility
  • Optimize workflows and automations (alerts, reminders, approvals, update requests) to reduce manual effort
  • Improve data models, refactor complex formulas, and implement data quality controls
  • Define and enforce governance standards including access controls, naming conventions, documentation, and lifecycle management
  • Conduct stakeholder workshops, prepare solution documentation, and train internal users/admins

Required Qualifications

  • 3–5 years of hands-on Smartsheet experience supporting complex reporting solutions
  • Strong expertise in dashboards, reports, automations, and cross-sheet reporting
  • Solid data modeling, transformation, and quality control skills
  • Experience working in governed enterprise environments
  • Strong communication and stakeholder management skills

Preferred Qualifications

  • Smartsheet certifications or admin-level experience
  • Experience optimizing existing (non-greenfield) Smartsheet environments
  • PMO or portfolio reporting exposure
  • Experience with integrations and repeatable intake workflows
