As the Office Manager, you will play a pivotal role in ensuring the smooth day-to-day operation of our Singapore office. You’ll provide facilities that reflect and support a professional work environment while fostering a cohesive and collaborative team culture across all staff.

Key Responsibilities
• Switchboard maintenance, screening of all phone calls and update telephone directory
• Responsible and oversee the day-to-day administrative functions
• Courier and mailing services
• Arrange refreshment for office meetings/seminars
• Manage meeting agenda and follow up on open issues
• Ordering of stationery, name cards, office supplies and pantry stocks
• Ensure tidiness of the office/meeting rooms
• Ensure invoices tracker are input timely
• Update company organization chart flow board
• Set up workstation, locker and designated seat for new joiner
• Prepare materials for board meetings
• Ordering gift baskets for births and wreaths for demise of employees/relatives
• EDM emails for festive season
• PO creation and receipt PO on D365
• Coordinate for events planning (Townhall, fund charity, year-end party)
• Support Singapore business generation for bids & proposal
• Support Project & Cost management team for final accounts printing
• Onboarding for new hires
• Employee exit clearance form
• Manage the company calendar movements and booking of meeting rooms
• Manage tenancy agreements, renewal and ongoing tenancy matters etc
• Ensures the operations of the company are within a secure, efficient and organized work environment
• Knowledge on ISO9001:2008, ISO14001:2004 and ISO 45001: 2018
• Fire warden and SDO office & SGSecure representative
• Any other ad-hoc duties assigned
