Position Summary
We are seeking a detail-oriented and highly motivated Pension Administrator to join our People & Culture team at Toronto General Hospital. In this critical role, you will be responsible for the accurate and effective administration of the Healthcare of Ontario Pension Plan (HOOPP) define benefit plan, in accordance with the plan design and regulatory requirements. You will ensure the integrity of pension processes, perform routine and specialized pension calculations, support audits and compliance activities, and contribute to continuous process improvements.
As a key contact for managers and employees, you will provide expert guidance on HOOPP matters while supporting broader HR operational support across the University Health Network (UHN). You will play a central role in the annual HOOPP Member Data Collection (MDC) process, manage reconciliation and accounting for all HOOPP-related transactions – including leave contributions and retroactive adjustments – and help ensure timely, accurate data submission. About you
You bring a minimum of three years of hands-on experience administering pension plans and possess a solid understanding of payroll processes related to pension administration. Your analytical mindset and sound judgment enable you to tackle complex pension calculations and data validation with precision. You are an excellent communicator, both written and verbal, adept at explaining pension concepts clearly to a variety of audiences. Your proficiency with Microsoft Office, particularly intermediate to advanced Excel skills—including formulas, pivot tables, and v-lookups—supports your ability to manage detailed data efficiently. You excel at organizing competing priorities, managing multiple tasks, and maintaining exceptional attention to detail in a fast-paced environment. Above all, you are committed to delivering outstanding customer service and fostering strong relationships with internal and external stakeholders.
Duties
- Pension Administration:
- Update member data in compliance with plan rules and legislative requirements.
- Process employee event transactions through HOOPP Connect, including enrollments, status changes, retirements, terminations, deaths, and buybacks.
- Maintain and reconcile member records and plan assets within the HOOPP system, ensuring data accuracy and integrity.
- Analyze reports and determine pension implications for employee/employer contributions on various events, such as retroactive adjustments and leaves of absence.
- Serve as the primary liaison for HOOPP Client Services to resolve escalations and clarify transaction interpretations.
- Provide exceptional customer service by addressing inquiries from pension plan members, retirees, and beneficiaries via multiple communication channels.
- Process complex pension transactions in adherence with service standards and regulatory compliance, including the Ontario Pension Benefits Act.
- Manage the pension administration process for employees on leaves of absence, including coordination of HOOPP contributions during the leave period. Administer HOOPP payments during employees’ leaves and process appropriate cost recovery (back charges) to the employee’s home department FCC.
- Oversee HOOPP reporting for all retroactive payments to ensure compliances and accuracy in pension contributions and reporting.
- Collaborate with Payroll Administrators to manage premium payments and reconciliation.
- Coordinate with third-party administrators and internal teams to ensure timely and accurate reporting.
- Lead or participate in special projects focused on operational improvements and enhanced client satisfaction, providing recommendations to leadership.
- Pension Analysis:
- Calculate pension adjustments, including reversals and past service credits.
- Conduct data validation and reconciliation to ensure accurate benefit calculations and annual pension statements.
- Perform monthly and quarterly audits of pension and lump sum payments.
- Lead the year-end Member Data Collection (MDC) activities, including data updates and validations.
- Conduct regular audits and reconciliations of pension data, including member contributions and service credits.
