Position Summary

Emergency Preparedness is an expanding career field encompassing many disciplines and hospital departments. In support of the vision, mission and goals of University Health Network the Emergency Preparedness Administrative Assistant provides secretarial and clerical services, in support of the Emergency Preparedness Department. The successful candidate will learn a great deal about the application of emergency preparedness principles and models in the hospital setting.
The General Administrative Assistant II exercises judgment and independence in the performance of secretarial activities, the principal responsibilities include: utilizing knowledge of medical terminology and advanced functions to provide word processing/typing services to facilitate the production of moderate and/or complex documents/materials for assigned personnel; performing reception responsibilities; maintaining written and/or electronic calendar/schedule; administering and monitoring billing procedures and departmental budgeting records; ensuring efficient operation of the office, within the scope of authority; modifying and maintaining electronic and paper information filing/retrieval methods, systems and/or formats; providing functional supervision to lower classified clerical position(s); performing clerical support functions; performing cross-functional responsibilities, as required; performing other duties consistent with the job classification, as assigned.
Duties
- Performing reception responsibilities and ensures efficient office operations
- Developing and maintaining staff schedules
- Inputting and completing payroll responsibilities
- Providing support with internal and external meetings/learning activities (e.g. drafts and distributes agendas; arranges meeting rooms, books venues and assists with seating plans, catering and other details; attends meetings as required; records and prepares minutes; follows up on the implementation of meeting decisions as requested);
- Maintaining and modifying electronic and paper information filing/retrieval system methods, and/or formats
- Performing routine budgetary support functions
- Monitor storage room and loading dock supplies and replace as necessary
- Provide support in the maintenance of the Code Response Kit program
- Help maintain project and incident tracking databases, dashboard and SharePoint
- Monitor Emergency Preparedness e-mail and responds to queries, issues, and important notifications
- Assist with annual report
- Performs other related duties as assigned or requested
