Job Overview

Position Overview:

USA Rare Earth is seeking a motivated Sample Prep Administrator to support research, testing, and development activities related to rare earth materials and magnet production. This role provides hands-on experience working in a laboratory environment alongside scientists and engineers focused on advancing next-generation rare earth magnet technologies.

 

The Sample Prep Administrator will assist with organizing results from experimental work, materials analysis, and data collection which supports ongoing research and process development efforts and maintain needed supplies associated with lab operations.

 

Key Responsibilities:

·       Assist scientists and engineers with organizing experimental data and maintaining accurate sample traceability for laboratory experiments, materials testing, and sample preparation activities.

·       Support proper sample labeling, storage, and tracking in accordance with corporate policies and laboratory standards.

·       Monitor, maintain, and replenish laboratory supplies to ensure uninterrupted operations.

·       Maintain accurate and organized laboratory documentation, including equipment maintenance logs, test procedures, and method updates.

·       Follow all laboratory safety protocols, environmental guidelines, and quality procedures to ensure a safe and compliant work environment.


Knowledge, Skills & Abilities (KSAs)

·       Knowledge of basic laboratory practices, sample handling, and data organization principles.

·       Understanding of proper sample labeling, chain‑of‑custody, and traceability requirements.

·       Ability to follow written procedures, test methods, and safety protocols with consistency.

·       Strong organizational skills with the ability to manage multiple samples, tasks, and documentation.

·       Skill in maintaining accurate, complete, and audit‑ready records.

·       Ability to identify discrepancies in documentation or sample traceability and escalate appropriately.

·       Effective communication skills for collaborating with scientists, engineers, and cross‑functional teams.

·       Ability to work independently with minimal supervision while supporting a team‑driven environment.

·       Strong problem‑solving mindset and willingness to learn new laboratory tools, software, and procedures.

·       Ability to maintain a clean, safe, and compliant laboratory workspace.

Qualifications

·       High school diploma or equivalent; associate or bachelor’s degree in a science or technical field is a plus but not required.

·       Basic proficiency with Microsoft Word, Excel, and PowerPoint.

·       Strong attention to detail and ability to accurately follow procedures.

·       Ability to maintain organized records and documentation.

·       Willingness to learn laboratory practices, equipment use, and safety protocols.

·       Ability to work collaboratively in a team‑oriented research environment.

·       Demonstrated commitment to safety, quality, and continuous learning.

·       Strong work ethic, reliability, and a proactive approach to problem‑solving.


Physical Demands 

The work environment will be a mix of a typical office environment, a manufacturing floor and a construction site.   Noise level: Normal office, manufacturing and construction noises.
