What you will do  
We are looking for an
Executive Assistant to support our Chiefs and help keep Tony’s running smoothly at the very top. In this role, you’ll be a trusted partner to the Chief Operating Officer, Chief Brand Officer, and Chief Commercial Officer, enabling them to focus on leading the business by providing outstanding administrative, organizational, and coordination support. 

 

Your role is all about creating clarity, structure and flow in a fast‑moving, international scale-up environment. From managing complex calendars and communications to supporting strategic planning and improving processes, you’ll be right at the heart of decision‑making. You’ll work closely with the Chiefs you're supporting, but also with the whole Chiefs team, another Executive Assistant in the team, the Chief of Staff, the senior leadership, shareholders and external stakeholders, always with discretion, ownership, and a proactive mindset. This is a role for someone who thrives on responsibility, anticipates needs before they arise, and enjoys being the calm, structured force behind senior leadership. You'll report to the Chief of Staff and are based in Amsterdam. 

 

 

All wrapped up in this role, you will  

  • Be a trusted executive partner: Act as a trusted right‑hand to the Chiefs you're supporting, ensuring they are well‑prepared, well‑informed and able to focus on running the business. You’ll handle sensitive information with care and discretion, always keeping confidentiality at the core of your work. 

  • Own executive communication: Draft, review and send communications on behalf of the Chiefs and act as a key liaison between executives and internal and external stakeholders, ensuring clarity, quality and timely responses. 

  • Manage calendars, inboxes and travel: Take full ownership of complex calendars and inboxes, prioritizing requests, managing dependencies and coordinating travel and logistics for business trips, including itineraries and expense reporting. 

  • Strengthen stakeholder relationships: Work daily with Leaders Circle leads, the Chief of Staff, shareholders, supervisory board members and external partners to ensure smooth collaboration, alignment and trust. 

  • Enable strategic planning: Create, review, optimize and manage the annual company calendar, support yearly planning with the Chiefs and their teams, and ensure key moments, meetings and milestones are well‑structured and aligned. 

  • Improve processes and systems: Continuously look for smarter ways of working by optimizing processes and systems within the executive support team and across the business, helping the executive team operate more efficiently and effectively. 

  • Coordinate meetings and events: Organize and facilitate on‑ and off‑site meetings and events, from agenda settings and logistics to stakeholder alignment and documentation.
