The Project Coordinator supports delivery of Enterprise-level projects by managing and coordinating activities, tracking progress, and ensuring effective communication among stakeholders.
This role blends traditional project coordination responsibilities with strong Agile/Scrum practices and rigorous documentation management.
The coordinator maintains project artifacts, facilitates team cadence, and ensures alignment with the Enterprise Project Management Policy and governance standards.
Key Responsibilities
Documentation Accuracy & Upkeep
- Maintain comprehensive and accurate project documentation, including meeting notes, action items, sprint artifacts, and status reports.
Agile/Scrum Coordination & Ceremony Support
- Support and coordinate Agile ceremonies (planning, daily stand-ups, reviews, retrospectives); ensure boards and artifacts are current.
Stakeholder Communication & Project Hygiene
- Deliver clear, proactive status updates; keep project trackers accurate for scope, progress, risks, and issues.
Essential Duties of the Position
- Assist Project Managers in planning, scheduling, and monitoring activities for Enterprise-level initiatives.
- Maintain comprehensive and accurate project documentation, including meeting notes, action items, sprint artifacts, decision logs, RAID items, and status reports.
Support Agile/Scrum ceremonies (sprint planning, daily stand-ups, sprint reviews, retrospectives) and ensure artifacts are prepared and updated. - Serve as a coordination hub for cross-functional stakeholders and external vendors; schedule meetings, prepare agendas, capture decisions, and distribute follow-ups.
- Keep boards and project trackers current; ensure issues, tasks, and stories reflect real-time status, ownership, and due dates.
- Monitor risks, issues, and dependencies; log, track, and escalate according to Enterprise governance and agreed processes.
- Ensure adherence to the Enterprise Project Management Policy and governance framework; support audit readiness with well-organized records.
- Contribute to continuous improvement of team processes and documentation standards.
Skills, Knowledge and Expertise
Education
- Bachelor’s degree in Business, Information Technology, or related field (or equivalent experience).
- Project-related certifications such as PMP, CAPM, CSM preferred.
Experience
- 3+ years in project coordination or similar roles using Agile/Scrum, supporting Enterprise-level initiatives, preferably within the financial services industry.
- Proven history of maintaining detailed documentation and project artifacts.
- Hands-on experience with project issue tracking, backlog management, and reporting software (required).
Skills
- Strong organizational and time-management skills with attention to detail.
- Excellent written and verbal communication skills; confident facilitator.
- Proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, SharePoint).
- Working knowledge of Agile principles and Scrum practices; familiarity with governance frameworks.
