Job Overview
- Manage multiple email inboxes across business and personal accounts.
- Prioritize, flag, and draft responses to critical messages.
- Coordinate calendars, schedule appointments, and send reminders.
- Organize meetings and ensure proper preparation of documents and agendas.Coordinate rideshare services, travel arrangements, and logistics.
- Manage tasks and reminders to keep projects on track.
- Assist in managing SharePoint, OneDrive, and Zendesk platforms.
- Prepare reports, maintain digital files, and organize documents for easy access.
- Place outbound calls using VoIP/softphone systems (RingCentral, Twilio, etc.).
- Communicate professionally with business partners, clients, and vendors.
- Draft, edit, and proofread emails and correspondence as needed.
- Handle sensitive information with strict confidentiality.
- Use secure platforms for credential sharing and account access.
- Follow offboarding protocols to ensure accounts and data are secured when access changes.
Hard Requirements:
- Minimum 2β3 years of experience as an executive assistant, operations assistant, or virtual assistant
- Proven experience managing multiple inboxes, calendars, and executive-level communications
- Strong written and verbal English communication skills
- Experience working with cloud-based document management and ticketing systems
- Ability to place professional outbound calls using VoIP or softphone tools
- Exceptional organizational skills and attention to detail
- High level of discretion and experience handling confidential information
- Strong time management skills with the ability to prioritize competing tasks
- Reliable internet connection and secure, professional remote work setup
Schedule:
- 20 hours per week
- Monday to Friday
- 9AM - 1PM Eastern Standard Time Zone
