Job Overview
- Manage and organize multiple email inboxes, including prioritization and response drafting
- Review, organize, and file project-related documents and correspondence
- Coordinate calendars, schedule meetings, and send reminders
- Prepare meeting materials, agendas, and follow-up notes as needed
- Assist with document review related to construction or electrical projects
- Track tasks, deadlines, and action items to support project workflows
- Handle basic personal administrative tasks such as online ordering or scheduling
- Maintain organized digital filing systems for easy document retrieval
- Communicate professionally with internal teams, vendors, and external contacts
- Support day-to-day administrative needs as directed by the project manager
Hard Requirements:
- Minimum 2–3 years of experience as an executive assistant, administrative assistant, or virtual assistant
- Prior experience supporting construction, industrial, engineering, or technical teams
- Strong written and verbal English communication skills
- High attention to detail with strong organizational and task management abilities
- Proficiency with email platforms, calendars, document management, and cloud-based tools
- Ability to manage sensitive information with discretion and confidentiality
- Comfortable working independently with minimal supervision
- Reliable internet connection and secure remote work setup
Schedule:
- 20 - 25 hours per week
- Monday to Friday
- 7AM - 11AM Eastern Standard Time Zone
