The Credit Controller owns the end-to-end billing, collections and cash allocation cycle across the Group's revenue streams. Working closely with Commercial, Sales, Project Management, and the Commercial Finance Director, the role ensures billing is accurate and timely while driving disciplined, proactive debt management across the customer base. This role reports into the Commercial Finance Director.
This is a fixed-term maternity cover role that is expected to end around 15/10/2027
Core Responsibilities:
Billing & Invoicing
Raise sales invoices for Aptitude's international client base, liaising between the Sales and Commercial teams to ensure orders are correctly set up in NetSuite.
Ensure sales orders are approved in a timely manner by the respective approvers, following up proactively to prevent delays to billing.
Process the Group's recurring monthly billing streams in NetSuite and Professional Services timesheet invoices — validating completeness, accuracy and reasonableness before issue.
Review and invoice consultant time posted in NetSuite, working with Project Management to confirm accuracy, and raise expense recharge invoices as required.
Support subscription contract renewal billing (annual, in advance), including peak volumes in June and December, ensuring sales orders are raised and approved ahead of invoicing.
Prepare with FP&A the timings of CPI uplifts on renewing contracts, ensuring these are correctly reflected in billing in a timely manner.
Work with other functions to capture upsells and expansions in a timely manner, ensuring these are billed without delay.
Issue invoices to customers through NetSuite and the relevant customer portals, maintaining consistent, trackable distribution.
Ensure customer portals are correctly set up to receive Aptitude's invoices, working with customers and internal teams to resolve set-up issues promptly.
Work with the Legal team to understand customer billing terms and ensure invoicing is aligned with contractual agreements.
Collections & Cash Management
Ensure client payments are received in accordance with contractual terms, liaising with Sales and Commercial teams on problematic accounts.
Proactively keep in touch with customers ahead of and around payment due dates, to ensure debts are collected in a timely manner.
Perform daily cash allocation and matching and support cash forecasting across all revenue streams.
Maintain aged debtor reporting, manage the AR inbox and handle invoice-content queries, escalating and resolving disputes as they arise.
Support debtor provisioning and, where necessary, legal action on overdue accounts, in conjunction with the Commercial Finance Director.
Provide weekly reporting on outstanding debt to management, highlighting key actions taken to remedy problematic accounts.
Revenue & Month-End Support
Work out deferred and accrued income journals each month - calculating the amounts to be released or deferred by contract/service period ahead of posting, in line with IFRS 15 revenue recognition.
Calculate and post deferred and accrued income journal entries as part of the monthly close.
Prepare and maintain deferred revenue schedules that underpin monthly revenue recognition, ensuring these reconcile to the general ledger.
Prepare the monthly debtor reconciliation.
Prepare for the bi-weekly debtors meeting chaired by the CFO, presenting customer aged debt status and seeking support where normal BAU collection activity has not led to timely cash collection.
Assist the Commercial Finance Director in reviewing bad debt provisions against revenue released to the P&L, ensuring provisioning remains appropriate and consistent with recognised revenue.
Assist the Commercial Finance Director with other tasks of a financial nature, including supporting process standardisation and control improvement initiatives across the order-to-cash cycle.
