The Role
We are seeking a self-directed and highly motivated Virtual Merchandise Assistant to join our team. This role is the "connective tissue" of our product development cycle. You will be responsible for the end-to-end coordination of sample production, ensuring that every design detail is captured, every gemstone is tracked, and every deadline is met for critical sales presentations.
Experience & Requirements
● Professional Experience: 3 years of experience in a merchandise assistant, production coordination, or administrative support role (experience within the jewelry, fashion, or luxury goods industry is highly preferred).
● Precision: Meticulous attention to detail and a commitment to maintaining high company standards.
● Technical Skills: Strong proficiency in Microsoft Excel (data entry, tracking, basic formulas) and Outlook.
● Industry Knowledge: A basic understanding of jewelry types and components (metals, stone types, settings).
● Communication: Exceptional verbal and written communication skills; ability to collaborate effectively across departments.
● Project Management: Proven ability to manage multiple overlapping project timelines in a fast-paced environment.
● Mindset: A curious learner who is eager to master industry-specific terminology and is naturally self-motivated.
Core Responsibilities
● Design Tracking: Monitor design development communications to meticulously gather, log, and track style specifications and revisions.
● SKU Management: Create and maintain accurate SKUs and technical descriptions for all new jewelry samples.
● Procurement & Vendor Liaison: Create and place purchase orders (POs) for samples, gemstones, and diamonds. Actively follow up with external vendors to guide orders through to completion.
● Logistics Coordination: Ensure all physical samples are organized and routed correctly to international photography teams for digital asset creation.
● Financial Administration: Create and issue purchase invoices for gemstones and diamonds utilized in the sample production phase.
● Team Support: Participate in departmental meetings to record detailed notes, track action items, and present project status updates.
● Executive Assistance: Provide direct support to the company President and adjacent teams on urgent, ad hoc projects as needed.
