A mission-driven nonprofit organization specializing in outdoor excursions and experiential programs is seeking a highly organized and proactive Executive Assistant to support the Executive Director and small core team.
The ideal candidate will be an independent thinker, excellent communicator, and systems-oriented professional with a strong background in administration and coordination. This role combines traditional executive support with operational and communications tasks perfect for someone who enjoys creating order, building structure, and helping an organization scale efficiently.

Key Responsibilities
Executive & Administrative Support
● Manage and organize emails, calendars, and schedules for the Executive Director and team.
● Coordinate internal meetings and communications between departments.
● Maintain digital filing systems, manage folders, and ensure proper naming conventions.
● Transfer and organize shared files and drive content between entities.
● Create and maintain standard operating procedures (SOPs) for recurring workflows.
● Support grant and project tracking, ensuring timelines and deliverables are on schedule.

Systems & Operations
● Maintain and optimize workspace organization tools such as Notion, Google Workspace, and shared drives.
● Help implement and streamline systems for data management, reporting, and team collaboration.
● Oversee administrative data entry and receipt management in QuickBooks and Excel.
● Ensure bookkeeping records are updated accurately and all transactions are categorized correctly.

Communications & Marketing Support
● Assist in drafting, editing, and sending weekly newsletters via the organization’s email campaign system.
● Support light copywriting needs (e.g., updates, internal memos, and announcements).
● Coordinate translation and proofreading of French-language materials (basic understanding of French preferred).
● Help maintain the organization’s contact database and ensure all communications lists are current.

Required Skills & Experience

  • 3+ years of experience as an Executive Assistant, Administrative Coordinator, or Operations Assistant.
  • Strong proficiency in Notion, Google Workspace, and Microsoft Excel.
  • Basic bookkeeping experience, including familiarity with QuickBooks.
  • Excellent written and verbal communication skills in English; French proficiency is a plus.
  • Experience managing digital systems, creating workflows, and building organizational structure.
  • Strong attention to detail, organization, and ability to work independently.
  • Proven ability to create SOPs and suggest process improvements.

Nice-to-Have Skills

  • Experience supporting nonprofits or social impact organizations.
  • Basic experience with email marketing or newsletter tools (e.g., Mailchimp, Constant Contact).
  • Copywriting or editorial experience for newsletters or reports.
  • Project coordination or light marketing background.
