Role Overview
We are seeking a highly organized, proactive Executive Assistant (EA) to provide full-time support to the CEO of a fast-paced tech startup. This role is critical in enabling the CEO to operate efficiently across multiple time zones, particularly US (West Coast & East Coast) and UK stakeholders.
The ideal candidate is detail-oriented, calm under pressure, and experienced in managing complex schedules, travel logistics, and administrative coordination in a startup environment. This role will operate primarily in the Eastern Time Zone (EST) and will serve as a central point of coordination between the CEO, internal teams, customers, and external partners.
Core Responsibilities
Executive & Calendar Support
● Own and manage the CEO’s complex calendar across multiple time zones (US & UK)
● Schedule, reschedule, and prioritize meetings based on urgency and business impact
● Coordinate internal and external meetings, including customer calls and interviews
● Liaise with team members to resolve scheduling conflicts and meeting changes
Travel & Logistics Management
● Book and manage domestic and international travel (flights, accommodation, itineraries)
● Ensure smooth logistics for frequent travel between the US and UK
● Proactively handle changes, cancellations, and last-minute adjustments
Administrative, Coordination & Project Support
● General and/or administrative support for special or ad hoc projects
● People admin tasks, supporting our Head of People with the onboarding and offboarding of team members
● Serve as a key communication link between the CEO and internal stakeholders
● Coordinate interviews and recruitment-related scheduling
● Maintain clear documentation and meeting organization
Presentation & Document Support
● Assist with preparing and updating slide decks and presentation materials
● Provide light formatting, organization, and coordination support for executive-facing documents
● Adapt support level based on experience and capability
Required Skills & Experience
3–4+ years of experience as an Executive Assistant or Senior Administrative Assistant
Previous experience supporting executives in a startup environment
● Strong calendar and scheduling management experience
● Excellent written and verbal English communication skills
● Highly organized with strong attention to detail
● Confident working independently in a remote environment
● Comfortable managing competing priorities and fast-changing schedules
Nice-to-Have / Value-Add
Experience working at a SaaS startup
● Comfort working with distributed teams across different time zones
● Ability to anticipate scheduling bottlenecks and proactively suggest solutions
