We are seeking a proactive, tech-savvy, and highly organized Executive Assistant to support a fast-moving startup founder. This is a full-time remote position for someone who thrives in a dynamic, fast-paced environment and can bring structure to organized chaos. The ideal candidate will be detail-oriented, intuitive and capable of managing both professional and personal tasks for a busy CEO.
We are seeking a proactive, tech-savvy, and highly organized Executive Assistant to support a fast-moving startup founder. This is a full-time remote position for someone who thrives in a dynamic, fast-paced environment and can bring structure to organized chaos. The ideal candidate will be detail-oriented, intuitive and capable of managing both professional and personal tasks for a busy CEO.

Key Responsibilities:

  • Inbox Management: Manage the CEO’s inbox, draft responses, prioritize emails, and ensure timely follow-ups.
  • Calendar Management: Maintain a high-level calendar, schedule meetings, set reminders, and proactively resolve scheduling conflicts.
  • Travel Coordination: Organize domestic and international business travel, including flights, accommodations, and itineraries.
  • Task Prioritization: Understand task urgency, clarify deadlines, and ensure timely completion or follow-up without needing to be chased.
  • Project Support: Assist with small tasks and workflows, particularly in tools like Airtable, Notion, and CRM platforms.
  • Initiative & Autonomy: Take ownership of tasks, ask clarifying questions, and close open loops without requiring micromanagement.
  • Personal Assistance: Help manage personal errands and administrative needs as required

Ideal Candidate:

  • Experience:3–4 years supporting startup founders or C-level executives.
  • Proven ability to manage high-level calendars and communication independently.

Skills:

  • Excellent verbal and written communication.
  • Strong intuition, organizational abilities, and problem-solving skills.
  • Tech-savvy with experience in tools like Airtable, Notion, CRMs (HubSpot, Salesforce, etc.), and basic automation tools (e.g., Zapier).
