Job Overview
We’re looking for a highly skilled and well-trained Virtual Executive Assistant who thrives on organisation, precision, and proactive communication. The ideal candidate will have a proven track record of managing complex executive workflows from inbox and calendar management to CRM oversight and travel coordination.
You’ll play a pivotal role in keeping operations running smoothly, supporting senior leadership, and maintaining strong communication with internal and external stakeholders.
Key Responsibilities
●Inbox & Calendar Management: Monitor, prioritise, and respond to emails; manage scheduling, meetings, and reminders efficiently.
●Travel Coordination: Research, book, and manage detailed travel itineraries, including flights, accommodation, and logistics.
●CRM & Database Management: Maintain and update contact lists, client databases, and outreach records with accuracy.
●Document & Spreadsheet Management: Organise files, track projects, and prepare reports using Google Workspace.
●Outreach & Communication: Draft and manage professional correspondence and assist with client and partner outreach.
●Social Media & Canva Support: Assist in creating and scheduling basic social media posts and branded materials.
●AI & Digital Tools: Utilise ChatGPT and other productivity tools to streamline administrative processes.
Requirements
●5+ years of proven experience as a Virtual Executive Assistant or similar administrative role.
●Formal training or certification in executive assistance or administrative management is a strong advantage.
●Exceptional written and verbal communication skills.
●Strong organisational skills and high attention to detail.
●Ability to work independently with discretion and confidentiality.
●Excellent command of Google Workspace (Gmail, Drive, Docs, Sheets).
●Proficiency in Canva, ChatGPT and social media management tools preferred.
●Tech-savvy with a proactive, solutions-oriented mindset.
Preferred Skills
●Experience working in fast-paced, remote-first environments.
●Familiarity with CRM systems (e.g., HubSpot, Pipedrive, or similar).
●Strong sense of initiative and ability to anticipate needs.
