A U.S.-based franchise owner and real estate investor is seeking a reliable, detail-oriented, and proactive Executive Assistant who can support two business partners across multiple ventures. The role combines executive administrative support with bookkeeping responsibilities, and requires someone who can work independently and maintain accuracy across various tasks.
Key Responsibilities:
Executive Support
Manage calendars and coordinate schedules for two business owners.
Monitor emails and follow up on vendor and internal communications.
Organize tasks and ensure nothing falls through the cracks.
Bookkeeping & Financial Support:
Manage monthly bookkeeping using QuickBooks.
Reconcile mortgage statements across 10+ real estate rental properties.
Track payables and ensure financial records are accurate and up to date.
Operations Support:
Retrieve and organize financial documents from various banking institutions.
Assist with payroll coordination and ad hoc financial admin work.
Make outbound calls as needed using VOIP tools (e.g., OpenPhone, Google Voice).

Qualifications:
- Proven experience as an Executive Assistant and Bookkeeper.
- Proficiency in QuickBooks and familiarity with property management financial workflows.
- Strong organizational and multitasking skills.
- High level of discretion and ability to handle sensitive information.
- Excellent spoken and written English communication skills.
- Comfortable working during U.S. Eastern/Central Time business hours.

Must Have

- Fluent English communication skills (verbal and written).
- Tech-savvy with experience using tools like Google Drive, VOIP calling apps (e.g., OpenPhone), and password managers.
- Available to work full-time during U.S. business hours.
