Role Overview
This VA will support a B2B group coaching programs by ensuring smooth operations across sponsor onboarding, program launches, session management, data accuracy, and reporting. You will be a core partner to our internal team, helping us deliver a seamless, professional experience to sponsors, members, and coaches.
Time commitment: ~10 hours per week, with potential expansion into additional part-time roles in the future.
Key Responsibilities
1. Program Setup & Launch Support
● Prepare new cohorts for launch by helping coordinate intake information, internal readiness checklists, and program timelines.
● Ensure coaches, groups, and calendars are properly set up and organized prior to program kickoff.
● Assist with preparing member onboarding emails and ensuring all program details (dates, names, logistics) are accurate and up to date.
2. Calendar & Communication Coordination
● Create and maintain recurring session schedules.
● Add coaches and members to the correct calendar series.
● Ensure invites include clear descriptions, correct Zoom information, and accurate session sequencing.
● Support clean, consistent outbound communications to members and sponsors.
3. Data & Reporting Support
● Pull session data (attendance, session scores, member reflections) from internal systems.
● Review data for accuracy and completeness; correct issues when clear or escalate when needed.
● Prepare inputs for monthly sponsor reports.
● Support creation of account management decks by gathering data, cleaning it, and inserting relevant metrics, quotes, and trends. 4. Retool & Platform Administration
● Assign members and coaches to groups within internal Retool apps.
● Update key data points (attendance, reflections, session information) when needed to ensure accurate reporting.
● Use internal dashboards to monitor group health and flag concerning participation or engagement patterns to the team.
5. Light Database Editing (using Supabase, as needed)
● Be comfortable navigating and safely adjusting small pieces of structured data in Supabase (e.g., fixing a mislabeled field or updating a member entry).
● Follow clear guidance and escalate anything ambiguous.
6. General Operations Support
● Assist with simple administrative tasks that keep programs running smoothly (e.g., preparing templates, updating documents, supporting renewal materials).
● Maintain high attention to detail across sponsors, cohorts, and timelines.
● Work closely with internal team members (e.g., AM, Operations, Coaches) to ensure nothing falls through the cracks.
Key Qualifications Operational Excellence
● Highly organized, reliable, and detail-oriented.
● Able to manage multiple cohorts and timelines concurrently without losing track of details.
Tech-Comfortable & Quick to Learn
● Comfortable with:
○ Google Workspace (Docs, Slides, Sheets, Calendar)
○ Retool or similar internal-facing apps
○ CSVs, basic data cleaning, and simple cross-checking
○ Light database operations (Supabase experience a plus)
Strong Communicator
● Able to draft, edit, and refine clean, professional email content.
● Can represent The Grand’s tone and brand clearly and consistently.
Problem-Solver With Good Judgment
● Able to spot inconsistencies and correct clear mistakes.
