The ideal candidate will also assist with light administrative tasks such as handling emails, organizing receipts, and occasional supply ordering. This is a part-time role with the potential to grow into a full-time position, depending on
performance and business needs.
Key Responsibilities
Lead Management & Client Communication
● Monitor and respond to incoming leads throughout the day via the clinic’s CRM system.
● Engage with potential clients through text, phone calls, or email — depending on their communication preference.
● Schedule consultations and follow up on unconfirmed appointments.
● Maintain a warm, clear, and professional communication style that aligns with the clinic’s tone.
Administrative Support
● Manage inboxes and ensure all correspondence is organized and responded to in a timely manner.
● Track and organize digital receipts and invoices.
● Assist with supply ordering, vendor coordination, and maintaining inventory lists.
● Update and maintain accurate records in the CRM and other internal systems.
Process & Operations Support
● Ensure daily administrative and client management tasks are completed with accuracy and efficiency.
● Support the clinic’s team in streamlining lead handling and scheduling processes.
● Collaborate with management to identify opportunities to improve efficiency or customer experience.

Must-Have Qualifications
- Excellent English communication skills (both verbal and written) — ability to interpret and communicate with diverse U.S. accents, particularly Southern/Central regions.
- Strong organizational and multitasking abilities.
- Experience handling CRM systems, customer communication, or appointment scheduling.
- Tech-savvy and comfortable using messaging platforms, online calendars, and productivity tools.
- Professional, polite, and confident in client-facing communication.
- Reliable with strong attention to detail and follow-through.
Nice-to-Haves
- Experience in the healthcare or wellness industry.
- Prior background in lead generation, client coordination, or administrative support.
- Familiarity with U.S. time zones, customer communication norms, and healthcare scheduling.
