Key Responsibilities
Executive Support
● Manage complex calendars across multiple time zones for two executives (Sales & Clinical Operations).
● Coordinate meetings, travel arrangements, and expense tracking.
● Handle inbox management, ensuring timely responses and clear prioritization of emails.
● Prepare reports, meeting briefs, and follow-up documentation.
● Support cross-functional communication between teams and departments.

Operations & Process Support
● Create and maintain SOPs (Standard Operating Procedures) for recurring workflows.
● Manage and optimize company processes using tools like Notion and Jira.
● Assist with sales and clinical operations documentation, tracking project timelines and deliverables.
● Support data entry, tracking, and reporting for company projects and sales pipelines.
● Implement best practices in documentation, process automation, and AI-assisted task management.

Automation & AI Utilization
● Use ChatGPT and other AI tools to automate repetitive tasks and improve workflow efficiency.
● Identify opportunities to simplify or systematize routine operations.
● Draft summaries, templates, and documentation leveraging AI tools for speed and accuracy.

Required Skills & Qualifications

  • 3+ years of experience as an Executive Assistant, Operations Coordinator, or Project Assistant.
  • Strong organizational and multitasking skills with high attention to detail.
  • Excellent written and verbal communication skills in English.
  • Strong proficiency with:
  • ○ Google Workspace (Docs, Sheets, Slides, Calendar)
    ○ Notion
    ○ Jira
    ○ Slack
    ○ ChatGPT or other AI-based productivity tools
  • Experience with process or project management in a startup or tech environment.
  • Tech-savvy, resourceful, and quick to learn new systems.

Nice-to-Have Skills

  • Background or familiarity with healthcare, health tech, or clinical operations.
  • Experience supporting multiple executives in a fast-paced, distributed environment.
  • Understanding of sales processes or CRM systems.
  • Previous exposure to HIPAA-compliant environments (a plus, not required).
