Role Overview
We are seeking a senior-level Virtual Assistant to support a fully remote marketing agency and SaaS company operating across multiple countries. This role requires exceptional organization, attention to detail, and strong soft skills, with the ability to manage operational tasks, executive support, and internal coordination with minimal oversight.
This is not an entry-level VA role. The ideal candidate is an experienced, dependable operator
who can keep systems, people, and priorities aligned, ensuring nothing falls through the cracks.

Core Responsibilities
1. Operations & Systems Support (Approx. 30–35%)
● Maintain and update internal systems, dashboards, and Google Sheets
● Perform accurate data entry and data pulling from internal/custom-built tools
● Learn and navigate proprietary software built by the engineering team
● Ensure operational data is organized, up to date, and reliable

2. Client & Team Operations Support (Approx. 30–35%)
● Support internal teams by ensuring client-related workflows are organized
● Act as a backend support layer for customer operations (non-client-facing)
● Ensure internal team members have the information, files, and updates they need
● Maintain task trackers and follow-ups related to client operations

3. Executive Assistant Support (Approx. 30–35%)
● Manage inbox and calendar for the founder
● Track tasks, reminders, and deadlines to prevent missed items
● Assist with scheduling, follow-ups, and internal coordination
● Anticipate needs and proactively surface issues before they escalate

4. Light Creative & Ad-Hoc Support (As Needed)
● Use Canva or similar tools to make quick edits using templates (text swaps, simple visuals)
● Perform very light video editing or graphic adjustments when speed is required
● Support team members with fast turnaround requests using provided assets

Must-Have Qualifications

  • 5+ years experience as a Virtual Assistant, Executive Assistant, or Operations Assistant
  • Extremely high attention to detail and strong organizational skills
  • Proactive and self-directed (does not wait to be told what to do next)
  • Excellent written English communication (typing/text-based; no voice required)
  • Highly responsive, reliable, and consistent
  • Strong comfort with technology and learning new tools quickly
  • Experience working with founders or fast-moving startups

Nice-to-Have Qualifications

  • Experience supporting SaaS companies or marketing agencies
  • Familiarity with Google Workspace, spreadsheets, and internal dashboards
  • Experience with data-heavy or operations-heavy roles
  • Canva or basic creative tool experience
  • Background working with distributed, international teams
