Job Overview

Role Overview
We are seeking a highly professional, detail-oriented Virtual Assistant to support a fast-growing consulting firm operating in the private equity and professional services space. This role is finance- and operations-heavy, with a strong focus on Accounts Payable, Accounts Receivable, HR administration, and executive-level communication.
The ideal candidate is polished, reliable, and comfortable interacting with senior stakeholders (e.g., private equity VPs, CEOs, and portfolio company executives). This is not a casual admin role—it requires discretion, strong written English, and the ability to handle sensitive financial and HR information.
This role may start part-time with the potential to grow into full-time as the company scales.

Core Responsibilities
1. Finance & Accounting Support (Primary Focus)
● Manage Accounts Payable:
○ Receive vendor invoices via email
○ Upload and process invoices in Bill.com
○ Track payment status and ensure accuracy
● Manage Accounts Receivable:
○ Create and issue client invoices via Bill.com
○ Send professional invoice emails to senior stakeholders
○ Follow up politely and persistently on overdue invoices
● Maintain clear records of invoices, payments, and outstanding balances
● Coordinate with external bookkeepers and accountants as needed

2. HR & Payroll Administration
● Support payroll administration using Gusto
● Track hours and payments for contractors (1099s)
● Assist with onboarding new hires and interns:
○ Set up systems and access
○ Coordinate HR paperwork
○ Conduct basic onboarding checklists and briefings
● Maintain organized HR records and documentation

3. Executive & Business Operations Support
● Support internal operations and back-office workflows
● Assist with travel planning, retreats, and offsite logistics as needed
● Handle ad hoc administrative and operational tasks as the business grows
● Ensure internal processes are followed consistently and professionally

Must-Have Qualifications

  • 3–5+ years experience in finance admin, operations, or executive support
  • Hands-on experience with Accounts Payable & Accounts Receivable
  • Strong written English and professional email communication skills
  • High attention to detail and strong organizational habits
  • Comfortable handling confidential financial and HR information
  • Ability to communicate professionally with senior-level stakeholders
  • Proactive, dependable, and process-driven

Nice-to-Have Qualifications

  • Prior experience with Bill.com
  • Experience using Gusto or similar HR/payroll systems
  • Background supporting consulting, professional services, or finance-driven businesses
  • College degree (preferred but not required)
